Role
As an Executive Assistant, you'll run the warehouse office (vendors, inventory paperwork, shipping/receiving admin, AP/AR, HR admin) and act as the CEO's right hand (calendar, comms, follow-ups, light projects). This is a “own it and get it done” role. You own the follow up, question asking to ensure that what you own is prioritized and completed.
What you'll own
- Executive support: Inbox triage, calendar, travel, meeting prep, notes, report generation across multiple data sources to support decision making.
- Office/warehouse ops: Front desk, cycle counts, vendor coordination, office supplies, cycle counts.
- Filings / RFPs / Deposits : Manage, complete, print, notarize, deposit important company documents of all kinds.
- People ops admin: New-hire paperwork, I-9/E-Verify, onboarding checklists, policy docs, time-off tracking, training records, hiring.
- Procurement & vendors: Quotes, ordering, ETA tracking, warranty claims, service scheduling (IT, janitorial, HVAC, forklift service).
- Compliance & safety: Maintain SOPs, SDS binders, incident logs, access badges/keys, visitor logs.
- Projects: One-off CEO requests special projects.
Tools you'll use
Google Workspace, Slack, HubSpot, Netsuite, Excel (Google Sheets)).
Must-haves
- 3+ years in Executive Assistant role, ideally in a physical-operations setting (warehouse, light manufacturing, logistics).
- Ruthless prioritization; Written comms that reduce back-and-forth.
- Proficient in managing accounts payable/receivable, calendar coordination, and travel arrangements.
- Can lift 25–40 lbs occasionally; comfortable around warehouse traffic/equipment.
- Valid driver's license for bank/post office/runs.
- Work authorization in the U.S.
Nice-to-haves
- Netsuite experience; basic inventory, expense controls.
- Light HR admin (hiring, onboarding, handbooks, trainings).
- HubSpot lists, Google Sheets formulas, doc templating.
