As we continue to scale, we are looking for an exceptional Executive Assistant to serve as a true right hand to the CEO and play a key role in building internal operations and HR infrastructure.
About the Role
This is not a traditional administrative role. We are looking for someone who is quick, numerate, highly organized, and proactive, someone who can independently figure things out, anticipate needs, and execute without constant direction. You will support the CEO directly while also owning critical people-operations and internal process responsibilities as Pinnacle grows.
Key Responsibilities:
Executive & Administrative Support
- Manage and prioritize the CEO's calendar, including scheduling meetings, calls, and internal/external commitments
- Act as a reliable reminder system for deadlines, follow-ups, and key priorities
- Coordinate logistics for meetings and ensure the CEO is prepared with necessary materials
- Handle sensitive information with discretion and professionalism
- Review, organize, and troubleshoot invoices, payments, and internal records (including identifying and resolving missing or incorrect information)
HR & People Operations (Build & Own)
- Implement and manage Pinnacle's HR infrastructure as the firm scales, including:
- Researching, selecting, and setting up employee health insurance plans
- Supporting future implementation of a 401(k) plan
- Assist the Head of Recruitment on the full onboarding process for new hires:
- Ensure all employees are properly set up in payroll systems
- Track onboarding documentation and compliance
- Maintain accurate records of PTO, employee information, and internal HR documentation
- Serve as a point of contact for employee operational needs
Office & Operational Support
- Manage office-related needs, including supply and snack orders
- Support internal operations and ad hoc projects as they arise
- Identify gaps or inefficiencies and proactively recommend improvements to systems and workflows
Qualifications
- 3+ years of experience as an Executive Assistant, Operations Assistant, or similar role
- Strong math and numerical skills; comfortable reviewing financial details, invoices, and payments
- Extremely organized with strong attention to detail
- Ability to learn quickly, think critically, and solve problems independently
- Excellent communication skills (written and verbal)
- High level of reliability, professionalism, and discretion
Preferred Experience
- Familiarity with private credit, lending, MCA, or financial services environments
- Experience supporting senior leadership in a fast-paced or entrepreneurial setting
- Exposure to HR operations, payroll platforms, or benefits administration
Work Environment
- Fully onsite role in New York City (5 days per week)
