    Executive Assistant – Real Estate/Investments

Bellevue, WA (On-site with some flexibility)

Our client, a dynamic and fast-growing commercial real estate investment and development firm, is seeking a high-level Executive Assistant to support the Director of Investments, a Partner-level executive involved in multiple real estate and capital ventures. This is a unique and strategic support role for someone who thrives in a multifaceted environment—juggling investor relations, business administration, high-level scheduling, and both business and personal logistics across multiple entities.

The ideal candidate is polished, resourceful, tech-savvy, and confident interfacing with high-net-worth (HNW) individuals. You’ll play a pivotal role in enabling the executive to scale his business operations by managing day-to-day activities with professionalism, discretion, and proactivity.

    Executive Assistant Responsibilities:

    • Own and manage a complex, ever-changing calendar and inbox, prioritizing meetings and correspondence with limited direction.
    • Schedule high-volume meetings with internal and external stakeholders, including HNW investors, across time zones and business entities.
    • Book and manage logistics for both personal and business travel, including international itineraries, accommodations, and transportation.
    • Act as liaison between the executive and clients, partners, and vendors—professionally handling emails, calls, messages, and follow-up communication.
    • Prepare investor-facing correspondence, reports, presentations, and key documentation with high attention to detail.
    • Handle personal tasks and ad hoc requests including errands, gift buying, event planning, and other tasks.
    • Oversee and streamline office administration, including vendor contracts, document management, and process improvements.
    • Coordinate and support investor events, offsites, and strategic meetings.
    • Stay attuned to emerging technologies, AI tools, and trends in digital productivity—helping integrate and manage tech solutions to optimize workflow.

    Executive Assistant Qualifications:

    • 5+ years of experience supporting senior-level executives, preferably in real estate, investments, private equity, or wealth management.
    • Excellent verbal and written communication skills; confident and comfortable speaking with high-level investors.
    • Strong judgment and discretion when handling confidential and sensitive information.
    • Superior organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
    • Tech-forward mindset—comfortable with AI tools (e.g., ChatGPT), social media platforms, and emerging tech.
    • Advanced proficiency in Microsoft Office Suite and Apple/Mac systems; familiarity with digital productivity platforms a plus.
    • Bachelor’s degree preferred.
    • Experience with international travel coordination is highly desired.

    • 401k with a 3% match

    Compensation: $90,000 - $110,000/year plus bonus (DOE)
