    Position Overview:

    We are seeking a highly organized and proactive Executive Assistant to support our executive team. This role is critical to ensuring the smooth execution of executive-level operations, including meeting coordination, event planning, presentation development, project support, expense management, and other administrative tasks.

    The ideal candidate is detail-oriented, discreet, and able to manage multiple priorities in a fast-paced, dynamic environment.

     

    Key Responsibilities:

    • Plan and organize meetings, events, and trade shows, including logistics, travel, and related arrangements.
    • Create high-quality presentations and reports for internal and external meetings using PowerPoint, Excel, and other tools.
    • Support special projects and initiatives, ensuring deadlines and deliverables are met.
    • Handle sensitive information with the highest level of professionalism and confidentiality.
    • Anticipate executive needs and proactively solve problems before they arise.
    • Manage calendars, schedule meetings, appointments, and conference calls across multiple time zones.
    • Screen and prioritize emails, phone calls, and correspondence; respond or redirect as appropriate.
    • Prepare, edit, and proofread correspondence, reports, presentations, and other documents.
    • Coordinate internal and external communications on behalf of the executive team.
    • Serve as a liaison between executives and internal departments, clients, partners, and stakeholders.

     

    Qualifications:

    • 5+ years of experience supporting C-level executives, preferably in a fast-paced or growing organization.
    • Exceptional organizational and time management skills with the ability to prioritize and multitask.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and calendar management tools.
    • Experience with expense and travel management platforms preferred.
    • Event planning experience, including corporate meetings and offsite events.
    • High level of discretion and professionalism.
    • Strong interpersonal skills and ability to build positive working relationships across all levels of the organization.
