We’re looking for an Executive Assistant to support the owner of a thriving dental practice in Scottsdale. This isn’t just a calendar-and-email role. It’s about helping a high-performing business owner stay focused, organized, and on time in both work and life.
If you're someone who sees three steps ahead, instinctively organizes chaos, and thrives behind the scenes as a trusted partner, keep reading.
About the Role
This is a remote-first position with occasional in-person needs in the Scottsdale area (think: dropping off materials, meeting for planning sessions, handling errands). You’ll act as the point of contact for scheduling time with the owner, managing his calendar, fielding follow-ups, and coordinating projects and logistics that blend both professional and personal priorities.
You’ll need to:
Think proactively
Communicate professionally on behalf of the owner
Handle sensitive information with maturity and discretion
Stay on top of every detail, without needing someone to check your work
Your Core Responsibilities
Calendar & Inbox Management Keep the owner’s schedule prioritized and manageable, guarding his time and keeping him focused
Professional Communication Coordinate with team members, vendors, partners, and others via email and phone
Project & Event Support Help manage logistics for team events, travel, speaking engagements, or meetings
Personal & Family Errands Coordinate pick-ups, orders, appointments, and miscellaneous to-dos across the business and family life
Task Management Keep priorities visible, create checklists, and follow up until things are closed out
You won’t just be told what to do; you’ll be trusted to figure out what needs to be done and get it moving.
What Makes You a Great Fit
You’re extremely organized and detail-oriented, but flexible when plans change
You don’t wait for instructions; you take initiative, troubleshoot, and follow through
You’re comfortable working behind the scenes and being the calm in the storm
You communicate professionally, clearly, and kindly
You know how to ask the right questions, prioritize, and move things forward
You don’t take things personally, and you’re not rattled by feedback, direct communication, and a fast pace
You handle confidential information with integrity
You’re Scottsdale-local (or close) and can occasionally meet in person
Experience We're Looking For
2+ years in an Executive Assistant, Project Coordinator, or similar support role
Experience managing a leader’s calendar, inbox, and logistics
Strong written and verbal communication skills
Confidence in using tools like Google Workspace, Dropbox, and task management platforms
Bonus: Experience supporting an entrepreneur, practice owner, or executive
Role Details
Location: Remote-first (must be local to Scottsdale area for occasional in-person needs)
Schedule: Flexible, part-time to start (20-30 hours/week), with room to grow
Compensation: Hourly, based on experience
Perks:
Flexibility and autonomy
Opportunity to grow into a larger role
Direct impact on the success and flow of a values-driven business
If you’re the kind of person who feels a sense of calm when a calendar is perfectly arranged, who finds joy in being someone’s go-to problem solver, and who thrives in a fast-paced, growth-oriented environment, we’d love to hear from you.
