Spartan Invest is a full-service turn-key real estate investment firm specializing in property acquisition, renovation, and property management that is seeking an Executive Assistant to serve our Chief Executive Officer in our Birmingham based office. As assistant to the CEO, the Executive Assistant is responsible for aiding in the day-to-day operations of the company. This role requires high attention to detail, extreme focus, exceptional organizational skills, and the ability to prioritize.
The goal of the Executive Assistant is to help funnel tasks and duties that the CEO is not able to prioritize. The role involves managing highly confidential information and serving as a direct liaison for the CEO, which requires discretion, objectivity, and the ability to separate personal views from professional responsibilities. Because this is a highly trusted, one-to-one role, professional fit and interpersonal compatibility with the CEO are critical.
Acting as the point of contact between executives and internal/external colleagues
Assisting leadership team as needed
Organizing meetings and booking meeting rooms
Handling correspondence directed to managers
Maintaining and recording notes across multiple platforms
Arranging travel and accommodations as necessary
Creating reports and presentations as needed
Maintain and manage filing and database systems, staying informed on system updates and feature rollouts, and proactively identifying opportunities to enhance efficiency and effectiveness
Performing personal errands for CEO as necessary
Collecting and preparing materials for meetings/review
Cross referencing business and personal commitments with regard to scheduling
Various interpersonal tasks for employees
Assist with AREC and TREC license information
Assist with legal matters, record requests and highly sensitive information
Manage passwords
Facilitate operations for the building as necessary
Requirements:
High school diploma
Minimum of 2-3 years experience as an Executive Assistant, or in a role with comparable duties and responsibilities
Ability to multitask and prioritize tasks based on importance
Attention to detail
Extremely detail-oriented
Excellent verbal and written communication skills
Strong organizational skills
Great customer service
Professional discretion
The compensation package for this role includes a base annual salary of $60,000 to start, contingent on experience. We offer a comprehensive benefits package including PTO accrual that begins on day one and 401K with employer contribution after one year of service. We observe eight paid holidays in addition to PTO accrual and we offer paid parental leave after one year in role.
