St. Thomas Community Health Center is seeking a Senior Executive Assistant to join our clinic.
Key Responsibilities
Provide advanced administrative support to the Chief Compliance and Credentialing Officer
Coordinate and support compliance-related and governance committee meetings
Prepare agendas, distribute materials, and produce accurate, timely, and compliant minutes for all assigned committee meetings
Maintain official records of committee minutes and related documentation in accordance with regulatory and organizational requirements
Manage calendars, meetings, deadlines, and confidential correspondence
Organize, track, and maintain compliance documentation, policies, and records
Assist with audits, surveys, and monitoring activities by compiling and organizing documentation
Draft, format, and proofread reports, policies, and internal communications
Track deadlines and follow up on required actions identified through committees or compliance activities
Demonstrate flexibility by shifting priorities as needed and responding promptly to off-the-cuff or ad hoc administrative requests
Coordinate with internal departments to obtain required documentation and information
Handle sensitive and confidential information with professionalism and discretion
Qualifications:
Minimum 5 years of executive or senior administrative experience (healthcare environment preferred)
Demonstrated experience preparing formal committee or board-level minutes
Strong proficiency in Microsoft Office (Outlook, Word, Excel)
Exceptional organizational skills, project management ability, and attention to detail
Ability to manage multiple priorities in a high-volume environment
Professional discretion and ability to handle confidential information
The position requires sustained focus, strong organizational discipline, and flexibility to shift priorities when needed. Occasional responsiveness to time-sensitive matters outside normal business hours may be required, particularly during audits or regulatory activities.
