Job Description
The Executive Assistant provides high-level administrative and operational support to the CEO. This position serves as the primary point of contact for internal and external stakeholders and is responsible for managing the schedule, documentation, and follow-up actions to ensure alignment with organizational goals.
Essential Duties and Responsibilities
- Arrange and schedule meetings with clients, business partners, and internal team members.
- Attend internal and external meetings to record meeting minutes and track follow-up items when necessary.
- Assist with customer acquisition by drafting and revising project documents.
- Conduct preliminary reviews of project documentation created by internal project teams.
- Serve as the primary point of contact between the CEO and project managers, ensuring communication and timelines remain efficient.
- Collaborate with leadership and department leads to support positive team morale and operational efficiency.
Technical Skills and Qualifications
- Experience using Microsoft Office (Outlook, Excel, Word) and Google Workspace (Drive, Calendar, etc.).
- Ability to organize and catalog project photos and site data for use in reports or marketing materials.
- Strong understanding of data privacy and confidentiality, with the ability to exercise professional discretion when handling sensitive information.
Interpersonal Skills and Qualifications
- Strong face-to-face, phone, and written communication skills.
- Ability to handle confidential or sensitive information professionally.
- Excellent judgment and organizational skills.
- Adaptable and able to manage shifting priorities in a fast-paced environment.
- Experience working in project-based environments is preferred.
