  • Responsibilities

    The Executive Assistant will provide high-level administrative support to the CEO and other Executive Committee members. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

    Role Objective:

    • Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

    Key Responsibilities

    • Calendar Management: Scheduling high-level meetings, managing priorities, and resolving conflicts.
    • Communication Liaison: Screening calls, managing email correspondence, and acting as a gatekeeper.
    • Travel Coordination: Organizing complex travel itineraries, flights, accommodation, and logistics.
    • Document Preparation: Drafting reports, memos, presentations, and expense reports.
    • Meeting Support: Attending meetings to take minutes, preparing agendas, and managing follow-up tasks.
    • Administrative Support: Organizing files, handling expenses, and assisting with special projects or personal tasks.
    • Confidentiality: Maintaining strict discretion regarding sensitive corporate and personnel information.

    Required Skills and Qualifications

    • Experience: Proven experience as an Executive Assistant, Senior Administrative Assistant, or in a similar role.
    • Technical Proficiency: Mastery of Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
    • Communication: Strong written and verbal communication skills.
    • Organization: Excellent time management and ability to prioritize tasks.
    • Soft Skills: High level of discretion, adaptability, and proactive problem-solving skills.

    Skills and Qualifications:

    • Bachelor's degree required
    • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
    • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    • Ability to communicate effectively and professionally.
    • Flexible hours as dictated by the needs of business for projects and meetings.
