    Are you an excellent planner and organizer? We’re hiring an executive assistant to provide administrative support to the CEO + COO and help us achieve our organizational goals. Your role is ensuring plans are made, schedules are set, client communication is addressed promptly + thoroughly, and files/systems are neatly organized and up-to-date. Overall, you will provide support to leadership to help them execute and deliver on all day-to-day tasks, so they can focus on delivering the business and long-term company growth initiatives. Responsibilities: • Main point of contact for the COO • Managing both Executives' Email Inboxes and Flagging Urgent Matters • Screen incoming information from messages, phone calls, voicemails, memos, and emails, compile information, and report to an executive as needed • Manage Executives' schedule + calendars, including meetings, booking conference rooms, and travel arrangements. This includes ensuring the executive is prepared for meetings via agenda prep and briefing beforehand if needed • Manage Team CRM • Lead All Client Touches and Outreach (Quarterly Touches, Post Close Action Plans, etc) • Professional communication to clients and business partners on behalf of the CEO + COO as needed • Ability to manage team members on behalf of the COO when she is unavailable • Complete office management duties such as keeping the office tidy, organizing and ordering supplies as needed, etc • Help prepare meetings and take minutes, updating SOPs and other team materials as needed • Manage Team Manual and Create Standard Operating Procedures (SOPs) as needed, keeping the manual organized and easy to navigate • Organizing and maintaining team drive • Planning, creating, and executing client and house sphere gifting throughout the year • Hiring + Managing Operational + Agent Interns, ensuring the team has an intern at all times • Assist Leadership on a personal family calendar, bill pay, appointment arrangements, and other personal assistance tasks as needed Qualifications: • Must have graduated high school or received an equivalent certificate of completion • At least 2+ years of experience as an executive assistant, or experience performing supportive duties • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills • Comfortable meeting deadlines and handling confidential information • Proficient in Calendar Management • Proficient in Client Facing Communications • Excellent Attention to Detail Skills • Natural Problem Solver and Self Starter Compensation: $45,000 - $60,000 yearly
