You’ll be in charge of managing schedules, making travel arrangements, email, organizing our filing systems, and making sure administrative tasks in the office run smoothly. Responsibilities: • Manage daily calendars, meetings, and email correspondence • Oversee scheduling and customer service for Airbnb, Furnished Finders, and rental properties • Coordinate with vendors and manage business-related purchases • Perform daily reconciliation for property redevelopment projects • Manage transaction timelines, deadlines, and related tasks efficiently • Communicate clearly and professionally with clients, agents, vendors, and stakeholders • Prepare, review, and submit transaction documents accurately and on time • Coordinate inspections, repairs, and closing-related appointments • Maintain accurate and up-to-date client records in the CRM/database • Ensure file compliance, accuracy, and quality control • Conduct daily check-ins on active listings, contracts, and assigned projects Qualifications: • Executive Assistant and Project Management experience preferred (A+) • Strong organizational, communication, and time-management skills • Detail-oriented, proactive, and solution-focused • Project management knowledge (A+) • Construction background and familiarity with AI tools (Claude, HeyGen, Gamini, Nano, ChatGPT) (A+) • Coachable, dependable, and interested in long-term growth • Excellent communication skills. High proficiency in U.S. English (A+) • Experience using Microsoft Office/Tools • Accustomed to working on strict deadlines and handling confidential information Compensation: $5 - $7 hourly
