Executive Assistant To Founder& Operations Lead — Sports & Entertainment Real Estate

We are now expanding the operations side of our Sports & Entertainment division to provide seamless support to our high-profile clientele and internal team alike. Position Overview: We are seeking a full-time Executive Assistant & Operations Lead to support our Founder and oversee the backend operations of our growing Sports + Entertainment division. This is not a sales-focused role. The ideal candidate thrives in a dynamic, fast-paced environment and is a high-level executor who can anticipate needs, manage multiple workflows, and maintain structure behind the scenes. This position plays a critical role in keeping our Founder and team operating at the highest level. You will be responsible for calendar and communication management, internal systems oversight, high-touch client logistics, and strategic support to help streamline operations for athletes, entertainers, and their teams. This is a fast-moving, high-trust role that blends white-glove service with operational precision. Compensation: Starting at $45,000+ annually, plus 25% referral fee for any business brought into the team. Responsibilities: Executive Support & Calendar Management • Own and manage Founder’s calendar, inbox, and task lists with full discretion. • Create organizational systems and dashboards to keep operations running smoothly and Founder informed. • Oversee meeting prep, follow-ups, and time-sensitive communications. • Proactively anticipate scheduling conflicts and resolve logistical challenges. Client Experience & Logistics (SE Division) • Serve as liaison between Founder and high-profile clients, their teams, and partner vendors. • Coordinate personalized touchpoints, gifts, property packets, and follow-ups. • Organize and oversee detailed timelines for moves, tours, and relocation logistics. • Ensure a white-glove client experience is maintained at every touchpoint. CRM & Workflow Systems • Maintain and update Compass CRM, SE Workbooks, and Business Tracker in real time. • Implement efficient internal systems to streamline team communication and documentation. • Ensure data accuracy and visibility across platforms used by the Founder and team. Operational Management • Manage incoming referrals and ensure smooth handoffs with referral agents across markets. • Build and maintain a database of trusted vendors, school lists, market one-sheeters, and partner contacts. • Keep Sports + Entertainment marketing materials, templates, and assets current. Market & Industry Monitoring • Track major industry news (sports trades, entertainment deals, relocations, etc.) to anticipate client needs. • Stay informed on trends in luxury real estate, athlete relocation, and emerging SE markets. • Prepare high-level overviews or market summaries as needed for Founder/client briefings. Communications & Brand Support • Represent the Founder and The Noel Collective brand professionally in all interactions. • Draft and send high-level communications on behalf of the Founder as needed. • Coordinate event attendance, industry engagement, and brand presence within the SE space. Team & Project Coordination • Act as point-of-contact for incoming tasks and team requests related to SE operations. • Collaborate with marketing and transaction teams to ensure seamless execution of deliverables. • Help manage and track special projects, team initiatives, and SE growth strategies. Personal Assistance (As Needed) • Assist Founder with personal errands or tasks during slower work periods to free up her capacity. Qualifications: • Active Real Estate License (required – even if not actively selling) • Minimum 3 years in a high-stakes executive support, operations, or coordination role • Demonstrated ability to manage multiple moving parts calmly under pressure • Proficient in Google Workspace, Excel, and CRM platforms (Compass preferred) • Detail-oriented, solution-driven, and comfortable managing confidential information Compensation: $45,000+ annually starting salary
