    Job Description

    Our client is seeking an Executive Administrative Assistant to provide support to the Executive Team. __ This position will be fully onsite in the White Plains, NY office. The schedule is from Monday through Friday, 9am to 5pm.

    Responsibilities:

    • Manage multiple executive calendars, schedule appointments, and reconcile scheduling conflicts.
    • Coordinate and organize meetings, including preparing materials such as presentation books and PowerPoint presentations.
    • Arrange domestic and international travel accommodations, including flights, hotels, and transportation.
    • Process and track travel and expense reports for the CEO and other executives.
    • Assist in various projects, meetings, and provide support to other Administrative Assistants as needed.
    • Maintain and organize filing and record retention systems.
    • Provide backup coverage for the Front Desk Administrative Assistant on a rotating schedule.
    • Assist with distribution of incoming mail and other documents.
    • Perform additional administrative duties as required.

    Qualifications:

    • Bachelor degree or equivalent work experience.
    • Minimum of seven years' experience providing administrative support to senior executives; preference for experience in Private Equity or Asset Management firms.
    • Strong analytical skills with demonstrated ability to improve processes and efficiency.
    • Ability to work in a fast-paced environment, manage multiple priorities, and adapt to shifting deadlines with minimal supervision.
    • Exceptional attention to detail, organizational skills, and ability to multi-task.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook).
