OFFICE SETTING: Onsite in Nashville, with ability to work from home up to 1X/week

POSITION SUMMARY:**
The Executive Assistant (EA) is responsible for providing comprehensive support to the CEO’s of Vireo and pH-D Feminine Health to optimize their productivity. Duties will include broad executive leadership support, communicating on behalf of the CEO’s, scheduling and coordinating meetings and calendars, events, executive office management, travel, and a wide range of other tasks.
The ideal candidate is highly organized and motivated, shows initiative, has impeccable communication and relationship building skills, and is naturally meticulous when it comes to planning and details. Additionally, you have a roll up your sleeves attitude and enjoy wearing many hats as the business and needs demand.
RESPONSIBILITIES:
- Manage CEO’s calendar, schedule meetings and events, and coordinate internal and external appointments, including all details and accommodations
- Provide administrative management and coordination of all executive communications, including those of a confidential nature, ensuring accuracy and clarity
- Be the voice/presence of CEO’s on multiple fronts, especially detailed management of digital communications (email, social media, video conferences, phone calls, etc.)
- Handle frequent travel arrangements and itineraries for CEO’s and other team members, both domestic/abroad
- Serve as a key liaison between Executive leaders and internal teams, external partners, and stakeholders.
- Assist with preparing reports and/or special projects such as presentations, spreadsheets, etc.
- Maintain and order office materials and supplies inventory
- Welcome ambassador to new hires, including coordination of travel and itinerary for training and new hire setup
- Manage all facility areas to ensure an excellent “image” to all who visit our offices
- Be a brand ambassador for the company to all with whom we interact, ensuring and contributing to the Core Value culture and morale of the office
- Detailed, timely, and accurate project management of various activities, special projects or other duties as assigned or identified as key priorities
- Plan and execute on any special projects that relate to the CEO – offsites, events, conferences, etc tracking timelines and deadlines to ensure project is on track across multiple stakeholders.
QUALIFICATIONS:
- 3+ years of demonstrated EA experience managing and coordinating all executive leader activities, projects and events using excellent and prompt communication
- Superb oral and written communication skills, with the ability to interact internally and externally with a professional and friendly demeanor as an extension of the CEO’s
- Excellent project management and organizational skills with the ability to manage multiple priorities seamlessly
- Maintains a high level of confidentiality
- Highly organized and detail oriented with a low tolerance for errors (you thrive and take pride in the details!)
- Adept proficiency in Microsoft Office Suite (Outlook, PowerPoint, Teams, etc.)
- Effective liaison between Executive leaders and internal teams, external partners, and stakeholders.
- Empathetic interpersonal skills: Professional, courteous, pleasant demeanor and relates well to others.
- Thrives in a fast-paced environment where work interruptions may be frequent or requests or priorities may change
- Ability to work independently + with a sense of urgency, utilizing best judgement and discretion when needed to creatively problem solve
- Ability to be flexible outside core business hours will be required at times
