Executive Assistant for a Leading Publisher of Assessments
Our client is a leading independent publisher of psychological and educational assessments, including one of the world’s best-known tests for autism, that help health and educational professionals screen, diagnose, and treat people in need. They’re a family-owned business with an incredible culture, and are on the precipice of extraordinary growth and change. They are seeking a highly organized and motivated Executive Assistant to provide high-level support to the CEO, COO, and VP of Enterprise Planning as well as managing certain personal tasks and business for the CEO. The ideal candidate will be an efficient Executive Assistant, project management, or operations professional with an entrepreneurial mindset and the ability to thrive in a fast-paced environment.
This is a hybrid role, reporting to the office in Torrance (California) about 75% of the time.
Responsibilities:
- Serve as the right-hand to the CEO, COO, and VP of Enterprise Planning, anticipating needs, and handling administrative functions for all three executives
- Manage personal tasks for the CEO as directed (this may include tasks such as picking up dry cleaning, making restaurant reservations, arranging personal travel, etc.)
- Own scheduling and calendars for both the CEO and the President, securing external meetings and scheduling internal meetings with keen attention to detail
- Prepare materials such as slide decks, PowerPoints, and agendas for internal and external meetings, events, and offsites
- Handle travel arrangements, including itineraries, booking flights, and arranging accommodations and ground transport
- Communicate and work closely with cross-functional teams as needed
- Draft and edit internal and external notes, emails, and memos for the executive team, keeping track of follow-ups, action items, and priorities
- Play a lead role in logistics for meetings and events by preparing agendas, confirming meeting attendees, reserving space if needed, and coordinating with IT and operations teams
- Maintain confidentiality around sensitive information, handling such information with discretion and care
Qualifications:
- Demonstrated track record of success as an Executive Assistant, operations, or project management professional – open to hungry/smart/talented candidates with 3-5 years’ experience, but also to seasoned EAs looking for a wonderful place to work for the next 8-10+ years
- Experience working with startups or in similar high-growth, entrepreneurial environments is a big plus
- Willingness to regularly assist with personal tasks - while this role is primarily administrative/professional work, this person will often assist the CEO in managing personal tasks 20-25% of the time
- Extremely detail-oriented with best-in-class written and verbal communication skills
- Highly organized, with the ability to remain calm under pressure, juggle competing priorities, and wear multiple hats as needed
- Technology proficient – must be adept with MS Suites, G-Suite, Slack, and Zoom; and able to learn new technology as needed (AI-curious at a minimum!)
- Situational awareness and emotional intelligence – able to calmly and confidently interact with both internal team members and external clients and stakeholders
- Ability to handle confidential or sensitive information discretely
- Willingness to go the extra mile to keep things running smoothly
- Ability to work outside of standard 9-to-5 office hours occasionally
- Curious mindset with a goal of continuous improvement
Compensation: Targeting a base salary of $80-$110k plus bonus and great benefits… also - there is some flexibility for highly experienced Executive Assistant
