    About Us Heartbeat Music & Performing Arts Academy is a sanctuary for creativity, healing, and radical self-expression. We empower trauma-born and LGBTQ+ youth through music, movement, and mentorship. Our Executive Assistant will be the heartbeat behind the heartbeat—ensuring operational excellence while championing our mission.

    Position Summary Reporting directly to the CEO, the Executive Assistant will serve as a strategic partner in managing daily operations, budget oversight, and organizational communications. This role demands precision, discretion, and a deep commitment to service—ideally from someone who has served our country and now seeks to serve our community.

    Key Responsibilities

    • Provide high-level administrative support to the CEO, including calendar management, meeting coordination, and confidential correspondence
    • Manage and monitor organizational budgets, generate financial reports, and support fiscal accountability across departments
    • Assist in grant writing, proposal development, and reporting for public and private funding sources
    • Prepare presentations, reports, and internal communications that reflect the Academy’s values and voice
    • Liaise with board members, donors, and community partners with professionalism and purpose
    • Support compliance with Title 22 and Title 5 regulations in collaboration with program leadership
    • Uphold the Academy’s culture of transparency, creativity, and radical inclusion

    Qualifications

    • Bachelor’s Degree in Business Administration (required)
    • Proven experience in budget management and financial reporting
    • Strong organizational, communication, and interpersonal skills
    • Grant writing experience (preferred but not required)
    • Veteran of the United States Armed Forces is encouraged to apply.
