Summary of Position :
The Executive Assistant to the Managing Partner of JKZ LLP (“JKZ” or the “Firm”) provides high-level executive, administrative, and operational support, including assisting with firm-wide initiatives. This role requires a highly organized, detail-oriented professional with sound judgment, discretion, and the ability to manage competing priorities in a fast-paced environment.
Serving as a primary liaison to firm leadership, partners, referral sources, vendors, and business partners, the Executive Assistant anticipates needs, maintains strict confidentiality, and helps manage the Managing Partner's professional obligations, including leadership duties, speaking engagements, marketing, recruiting, client relations, and business travel.
Spanish language proficiency is preferred, as the Firm works with many international clients and events, and the Executive Assistant may assist with communications and coordination in Spanish.

Essential Duties and Responsibilities, including but not limited to :
1. Executive & Administrative Support
• Maintain organization of the Managing Partner's responsibilities, priorities, deadlines, and firm leadership obligations.
• Manage the Managing Partner's calendar, ensuring strategic scheduling of meetings, calls, and commitments.
• Serve as a gatekeeper for the Managing Partner by managing requests for time, prioritizing communications, and ensuring the Managing Partner's time is allocated effectively.
• Draft correspondence, presentations, reports, and other documents in accordance with firm formatting standards.
• Prepare spreadsheets, reports, and materials for meetings, presentations, and internal communications.
• Track and process expense reimbursements and maintain related documentation.
• Assist with attorney time entry and administrative tasks as needed.
• Provide backup support to the Managing Partner's Legal Secretary when necessary.
2. Liaison & Relationship Management
• Serve as a key liaison between the Managing Partner and firm leadership, partners, administrative departments, and staff.
• Communicate with clients, vendors, referral sources, and business partners on behalf of the Managing Partner.
• Manage communications and ensure timely follow-up on requests, issues, and action items.
• Maintain professional and effective relationships with internal and external stakeholders.
3. Marketing, Business Development & Recruiting Support
• Assist with marketing initiatives, speaking engagements, and business development activities involving the Managing Partner.
• Coordinate logistics for conferences, presentations, and professional engagements.
• Support recruiting efforts and professional networking initiatives.
• Assist with projects related to the Firm's strategic growth and business development goals.
4. Travel & Event Coordination
• Coordinate and manage domestic and international travel arrangements.
• Prepare travel itineraries and ensure all logistics are arranged in advance.
• Assist with planning and coordination of firm events, partner meetings, and employee engagement initiatives.
• Support logistics related to conferences, meetings, and firm functions.
5. Project & Operations Support
• Support firm initiatives and operational projects as directed by the Managing Partner.
• Track project timelines and ensure follow-up on assignments and outstanding items.
• Assist with coordination of new client intake processes when needed.
• Provide general operational support related to firm management priorities.
6. Limited Personal Support
• Provide limited personal administrative support to the Managing Partner, including personal calendaring or coordination of select appointments when necessary.
7. Confidentiality & Professional Discretion
• This position requires the highest level of confidentiality, discretion, and professionalism. The Executive Assistant will have access to sensitive firm information, including but not limited to personnel matters, financial data, client information, compensation discussions, and firm strategy.
• The Executive Assistant is expected to exercise sound judgment in handling confidential information and communications and must maintain strict confidentiality at all times. The ability to manage sensitive matters with discretion and professionalism is essential to the success of this role.

• Work is performed primarily in a professional office environment.
• Occasional attendance at firm meetings, events, or off-site engagements may be required.
3. Education & Experience
• Minimum of five (5) years of recent experience supporting a Managing Partner or shareholder in a law firm or other professional services firm.
• Prior experience in a legal or professional services environment strongly preferred.
• Demonstrated experience managing complex schedules, projects, and executive-level responsibilities.
4. Knowledge, Skills & Abilities
