    Executive Assistant to the CEO

    • Reports to: CEO and COO
    • Hours: Full Time, Monday-Friday, 8:00am-4:30pm; Hybrid Schedule: onsite Monday-Thursday, remote Friday.
    • Exempt Salary Range: $67,000-85,000/year. Position eligible for additional incentives including Bonus, 401(k) match, health and welfare benefits (Medical, Dental, Vision, PTO), amazing culture, growth opportunity and more!!

We are seeking a highly organized and resourceful Executive Assistant to provide direct support to both our CEO and COO.     The Executive Assistant will be responsible for a wide range of duties, including complex calendar management, travel coordination, meeting preparation, and executive correspondence. You will act as a trusted partner and liaison, balancing competing priorities while ensuring seamless communication and execution.     About the Position:

    The Executive Assistant to the CEO serves as a trusted partner and strategic support resource, ensuring the CEO's time, communications, and priorities are managed effectively. This role provides high-level administrative, organizational, and personal support, including managing complex calendars, coordinating meetings and travel, preparing executive-level correspondence and presentations, and serving as a liaison between the CEO, internal teams, and external stakeholders. The Executive Assistant exercises sound judgment, professionalism, and discretion in handling sensitive information while anticipating needs, streamlining operations, and enabling the CEO to focus on strategic leadership and business growth

    Major Responsibilities:

    • Manage the CEO and COO's complex calendars, scheduling meetings, and prioritizing requests to optimize time and focus.
    • Coordinate domestic and international travel, including itineraries, logistics, and expense reporting.
    • Prepare, edit, and format correspondence, reports, presentations, and other executive-level communications.
    • Serve as gatekeeper, handling calls, emails, and requests with discretion and professionalism.
    • Plan and organize executive meetings, board meetings, and leadership offsites, including agendas, materials, and follow-ups.
    • Act as a liaison between the Executives and internal teams, clients, partners, and stakeholders.
    • Anticipate the CEO's and COO's needs by proactively identifying priorities, challenges, and opportunities.
    • Conduct research and provide background materials to support decision-making.
    • Handle sensitive and confidential information with the highest degree of integrity and discretion.
    • Build strong relationships across the organization to facilitate communication and execution of strategic priorities.

    Knowledge, Skills and Abilities Required:

    • Minimum of 3 years prior administrative assistant/clerical experience
    • Ability to uphold a strict level of confidentiality
    • Exceptional attention to detail and quality assurance skills
    • Customer service orientation with friendly and professional demeanor
    • Strong capacity to multi-task and make time critical business decision
    • Able to create and maintain strong, professional work relationships with internal management and staff as well as external partners and vendors.
    • Expert MS PowerPoint skills and proficient in Excel and Word
    • High School diploma or equivalent required
