    Compass Forwarding is seeking a highly organized, composed, and detail-oriented Executive Assistant to the CEO to support a fast-paced executive role within a well-established global logistics organization.

    This role is ideal for someone who brings a calm, grounding presence, thrives on structure and follow-through, and takes pride in keeping complex days, priorities, and information organized. The position is in-office and requires close, daily collaboration with the CEO.

    You will:

    • Translate conversations into action items
    • Track commitments and ensure follow-through
    • Create systems that reduce stress and mental load
    • Keep priorities visible and moving without adding pressure

    Key Responsibilities

    Executive & Calendar Management

    • Manage the CEO's calendar with thoughtful prioritization and precision
    • Protect focus time and ensure adequate preparation for meetings
    • Prepare clear daily and weekly agendas
    • Anticipate scheduling conflicts and upcoming deadlines

    Follow-Through & Task Management (Core Function)

    • Capture and track action items from meetings, calls, and discussions
    • Maintain clear task lists, timelines, and reminders
    • Follow up calmly and persistently until items are completed
    • Re-surface priorities without creating friction or stress

    Information & Organization

    • Maintain intuitive, well-organized systems for files, notes, and correspondence
    • Capture context and decisions to avoid repeated re-orientation
    • Ensure key information and documents are always easy to locate

    Communication & Gatekeeping

    • Serve as a composed, professional first point of contact
    • Filter incoming requests and highlight true priorities
    • Draft or manage correspondence on behalf of the CEO when appropriate

    Operational & Administrative Support

    • Coordinate travel, itineraries, and logistics
    • Assist with preparation of presentations, reports, and briefing materials
    • Support special projects requiring structure and consistency
    • Handle sensitive information with discretion and care

    Required Qualifications

    • Exceptionally strong organizational skills (non-negotiable)
    • Prior experience supporting a senior executive, founder, or CEO
    • Calm, steady demeanor in a dynamic environment
    • Strong written and verbal communication skills
    • High attention to detail and follow-through
    • Ability to manage multiple priorities without becoming reactive

    Compensation

    This role is budgeted at the Senior Executive Assistant level.

    • Salary range: $80,000 – $110,000
    • Compensation will be commensurate with experience and fit
