Overview
We are seeking an Executive Assistant to provide complex administrative support to the CEO/President in a fast-paced office environment that supports a baking manufacturing company with multiple locations throughout the US. The executive assistant will exercise good judgement in a diversity of situations with strong written and verbal communication skills, effectively solve intermediate level problems, assist with the development and administration of various departmental programs. Individual will elevate the productivity of the CEO by supporting the executive team as directed to guarantee that the company goals and objectives are accomplished, and the operations run smoothly.
Key Responsibilities:
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions impacting the operations of the company.
- Sustain daily calendar for the CEO, including agendas, mail, email, calls, travel arrangements and other company logistics.
- Manage inquiries quickly, proactively and follow through on tasks to successful completion.
- Collect and prepare information for use in discussions/meetings supporting the CEO/President.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of the objectives for the organization.
- Will screen incoming telephone calls; take and deliver accurate messages, respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Ability to function well in high-paced environment.
- Build and develop relationships with members of management team for efficiency and effective responsiveness into existing operations and help define new operational strategies working with the CEO on special projects.
- Will order supplies, equipment, and furniture at the direction of the CEO/President.
- Manage contacts of the CEO/President
- Represent the company and Executive in a positive light through great follow through skills and sound judgement.
- Complete adhoc projects as assigned by CEO/President
- Perform related duties as assigned by CEO
- Recognize operational weaknesses and help sharpen processes or develop new ones.
- Maintain compliance with all company policies and procedures
Qualifications
- Bachelor’s Degree required
- 5+ years of experience working in an executive assistant role supporting Executive in a fast-paced environment.
- Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
- Will have exceptional attention to detail.
- Excellent verbal and written communication skills, including ability to efficiently communicate with internal and external customers.
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
- Ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
- Ability to prioritize tasks effectively and manage time efficiently.
- Flexible hours as dictated by the needs of the business for projects and meetings.
- Bi-Lingual a plus (understanding Japanese Language a ++)
