    We are seeking a highly organized, polished, and proactive Executive Business Coordinator to support the executive leader of a fast-paced, luxury-focused small business. This individual will play a vital role in supporting sales, managing showroom operations, coordinating internal deliverables, and helping maintain business rhythm and structure in our growing business.

    The ideal candidate will be professional, respectful, and capable of meeting directly with high-end clients, explaining our services with confidence, and recommending the best path forward. They will also assist with internal operations and help the executive stay focused on leading the company vision, growth initiatives, and high-level priorities. They will help the Executive manage the company by checking with the different departments, understanding the business, how it runs and helping support the departments on behalf of the Executive.

    This person is detail-oriented, proactive, and organized, capable of handling a fast-paced environment. This role serves as an extension of the execution team and must act accordingly, maintaining the same level of professionalism and authority in all interactions. Trust and confidentiality are essential in this role.

    Primary Responsibilities:

    Manage client communications, quote requests, revisions, and scheduling

    Conduct showroom meetings with clients: clearly explain our services, listen to client needs, and recommend the next best steps

    Maintain showroom readiness and oversee facilities management to deliver a true luxury client experience

    Support internal business operations by coordinating deliverables, project timelines, supplier communications, and administrative needs

    Assist with basic HR functions, including onboarding support, scheduling interviews, and internal communications

    Coordinate job site visits: gather measurements, take photos, and manage project documentation

    Key Skills and Qualities:

    Highly organized, detail-oriented, and proactive

    Polished, respectful, and professional in all client and internal interactions

    Strong communication skills, both written and verbal

    Highly tech-savvy: comfortable with CRM systems, quoting tools, and collaborative platforms; familiarity with AI tools is a strong plus

    Ideal Experience:

    Executive assistant, project coordinator, showroom coordinator, or sales support experience

    Background in luxury industries such as design, architecture, high-end services, or real estate preferred

    Previous experience supporting a founder, entrepreneur, or executive leader is highly valued

    Strong familiarity with CRM systems, quoting platforms, and remote collaboration tools

    Interest or experience in leveraging AI or automation tools to improve efficiency is a major plus

    Environment and Expectations:

    You will be working directly with a principal who is driving the company’s vision, operations, and growth

    Florida office is remote-operated and lightly staffed — requiring high independence and accountability
