Responsibilities: • Client Interaction: Welcome and greet clients with warmth and compassion, creating a positive first impression. • Communication Management: Receive and manage calls, addressing client needs effectively. • Client Intake: Assist with client intake and tracking using CRM software, preparing related reports for management. • Administrative Support: Provide general office assistance, including filing, scanning, and organizing files. • Product Tracking: Track delivery of client work products using customized tools. • Client Relations: Assist with client gifts, notes, and cards. • Office Maintenance: Ensure the office, conference room, and kitchen are well-stocked and tidy. • Team Support: Support the Owner, Operations Manager, and other team members with various tasks as requested. • Scheduling: Manage the Firm calendar, tracking all team member activities and meetings. Manage the administrative calendar, scheduling client appointments, and ensuring clear communication. • Organization: Sort and organize office spaces, files, and records to maintain a tidy and efficient work environment. Executive Assistant Duties • Calendar Management: Monitor and manage the owner's calendar, ensuring accuracy and organization. Schedule meetings and telephone calls as appropriate. • Communication: Communicate with clients and others by telephone and e-mail, as directed by the owner. • Meeting Preparation: Ensure the owner has all relevant materials/files needed for meetings. • Email Management: Assist in managing the owner's email inbox, sorting and flagging items of importance, always maintaining confidentiality. • Personal Appointments: Coordinate the owner's personal meetings or appointments as needed, always maintaining confidentiality. Qualifications: • Experience: Minimum of three years in a professional office setting supporting executives and clients. • Detail-Oriented: Meticulous attention to detail and quality of work. • Time Tracking: Must be capable of time tracking in 6-minute or .10-hour increments with standardized scripts. • Communication: Must communicate professionally and follow written and verbal instructions. • Language Skills: Must be able to formulate proper sentences with correct grammar and spelling. • Client Focus: Enjoys client contact and helping others. • Personality: Friendly, warm, and enjoys laughter. • Technical Skills: Proficient in Word, Excel, and other office software. Willingness to learn new software systems and applications as required. • Independence: Able to work independently and manage urgency levels appropriately. • Team Player: Enjoys working collaboratively with a positive attitude. • Reliability: Dependable, accountable, and consistent in covering responsibilities. Compensation: $30 - $42 hourly
