    Job description

    encoord is looking for a full-time Executive Coordinator / Project Manager to join its office in Edgewater, Colorado. This position is primarily in-office, with some flexibility for occasional remote work. This role is ideal for someone who thrives in fast-paced, unstructured environments and wants to play a key part in helping a small, growing software company scale its operations, improve internal processes, and support business development.

    encoord is a small and growing software company that helps energy stakeholders plan for the future. encoord’s core solution is the Scenario Analysis Interface for Energy Systems (SAInt), an integrated modeling platform that enables coordination across planning domains. SAInt enables the integration of economic and reliability planning across electric generation, transmission, and distribution. With offices in the United States and Germany, our team of twenty employees serves electric and gas utilities, system and market operators, and asset developers worldwide.

    About the Role

    As an Executive Admin / Project Manager, you will support encoord’s leadership team and contribute to key cross-functional initiatives across operations, business development, marketing, and internal project execution. You will play a critical role in keeping the organization running smoothly while helping the company grow and scale.

    You will be part of encoord’s Operations Team and work closely with executives, Product, Software Development, Business Development, and Marketing teams.

    What you’ll do

    Executive amp; Administrative Support

    • Provide high-level administrative support to senior executives, including calendar management, cross-time-zone scheduling, meeting logistics, and preparation of materials.
    • Handle a variety of administrative tasks, including office management and coordination of vendor/contractor services.
    • Manage travel arrangements, itineraries, and expense reporting for team members.
    • Maintain and update contact lists for the CEO and company to support business development and outreach.

    Project amp; Operations Management

    • Manage internal projects from kickoff through completion—scoping tasks, establishing timelines, coordinating contributors, and tracking progress.
    • Improve internal workflows and tools (templates, trackers, meeting cadences) to increase team efficiency as the company scales.
    • Support onboarding coordination and internal process documentation.

    Business Development amp; Marketing Support

    • Support sales pipeline and business development activities, including preparing meeting materials, and coordinating follow-up actions.
    • Assist in planning and executing the company’s marketing plan, including marketing emails, LinkedIn, and press releases.
    • Develop and present reports on business development metrics and marketing initiatives.
    • Coordinate conference participation, including shipment of displays/materials, booth logistics, and staff travel planning.

    About you

    The ideal candidate will have the following skills and expertise:

    Professional Experience amp; Skills

    • Bachelor’s degree (BA/BS) or equivalent professional experience in operations, business administration, project management, or similar.
    • 3–5 years of experience supporting senior leadership, managing projects, or handling operational tasks in a fast-paced environment.
    • Strong project coordination skills, including planning, prioritization, time management, and follow-through.
    • Comfort working in an unstructured environment and ability to bring order to ambiguity.
    • Ability to work effectively with a diverse team distributed across multiple time zones.
    • High professionalism and discretion when handling confidential information.
    • Excellent written and verbal communication skills in English.

    Tools amp; Technical Aptitude

    • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
    • Experience with or ability to quickly learn tools such as HubSpot, CRM systems, website platforms, LinkedIn, and AI-assisted productivity tools.
    • Experience with creative design and layout applications a plus – (Adobe Illustrator, Canva Figma, etc)

    Salary Range

    For Colorado-based candidates, the expected salary range for this position is:

    $75,000 – $105,000 per year, depending on experience, skills, and qualifications.

    This role is also eligible for a competitive benefits package, which may include health insurance contribution, paid time off, holidays, 401K and other benefits consistent with encoord’s policies.
