encoord is seeking a full-time Executive Coordinator / Project Manager to support our CEO and leadership team while driving cross-functional operational initiatives.
This role is ideal for someone who thrives in a fast-paced, evolving environment and enjoys building structure where none exists. You will combine executive support, project management, operations coordination, and business development support to help a growing software company scale effectively.
This is primarily an in-office position in Edgewater, Colorado, with occasional flexibility for remote work.
Manage executive calendars, cross-time-zone scheduling, and meeting logistics
Prepare meeting materials, presentations, and briefing documents
Coordinate domestic and international travel, itineraries, and expense reporting
Maintain CRM contact lists and support outreach activities
Handle confidential information with discretion and professionalism
Lead internal projects from kickoff through completion
Define scope, timelines, and deliverables; track milestones and accountability
Improve internal workflows, documentation, and operational systems
Support onboarding coordination and internal process development
Create templates, trackers, and reporting systems to improve efficiency
Assist with sales pipeline coordination and follow-up actions
Prepare reports on business development metrics
Support marketing initiatives including email campaigns, LinkedIn, and press releases
Coordinate conference logistics (booth planning, materials shipment, travel coordination)
Bachelor’s degree or equivalent professional experience
3–5 years of experience in executive support, project management, operations, or business administration
Strong project coordination and time management skills
Experience working in fast-paced or startup environments
Excellent written and verbal communication skills in English
High level of professionalism and discretion
Microsoft Office (Word, Excel, PowerPoint, Outlook)
CRM systems (HubSpot preferred)
Familiarity with LinkedIn and digital marketing tools
Ability to quickly learn new software platforms
Experience with Canva, Figma, or Adobe Illustrator is a plus

Salary range: $75,000 – $105,000 annually (Colorado-based candidates)
