We are seeking a highly organized, proactive, and detail-oriented Executive Learning Assistant to support the Director of Learning & Development in curriculum development, new-hire onboarding setup, content organization, internal communication, SOP drafting, and research initiatives. This role ensures the L&D department runs smoothly by keeping documentation organized, systems updated, tasks on track, and communication flowing clearly. Administrative & Executive Support • Manage the ClickUp workspace for the Learning and Development Department: update tasks, track deadlines, and generate bi-weekly status reports on completed and upcoming items for team meetings. • Attend meetings as needed to summarize Fathom notes and translate them into actionable tasks. • Prepare drafts using templates or notes provided by the Director or discussed in team meetings. • Maintain organization of all L&D files, documents, and learning assets. Curriculum & Content Support • Assist the Director of L&D in organizing training materials, curricula, scripts, and SOPs. • Support the content cleanup initiative, including reorganizing Guru and Google Drive for improved structure and accessibility. • Follow up with the Director of Design to ensure L&D-created content is delivered on time. • Publish finalized training content to designated Slack channels and upload to Guru. • Research as requested for curriculum updates, learning trends, and personal injury industry developments. Training Setup & Onboarding Coordination • Coordinate training setup tasks when new hires are onboarded across departments. • Prepare learning templates, distribute onboarding materials, and ensure departments have the necessary documentation before start dates. • Assist in maintaining training schedules and ensuring onboarding resources are ready on time. Note: This role does not plan or run training programs—only supports the setup and administrative components. Inbox & Communication Management • Manage the Director’s inbox by converting email requests into tasks and ensuring follow-through. • Maintain proactive communication across the organization on behalf of the L&D department. Personal Injury & Executive Assistant Competencies (Preferred) Experience strongly preferred in: • Personal injury law, intake, case management, or legal training environments. • Executive assistant or senior administrative support roles. • Managing complex calendars, project management tools, and communication flows. • Supporting documentation-heavy roles involving SOPs, learning materials, or curriculum. This blend of legal experience + executive assistant skill sets is essential for success in this role. Compensation: $8 - $9 hourly
