    Location: Hobe Sound, FL
    Schedule: Monday–Friday | In-Office
    Reports To: CEO

    About the Role

    The company is a high-touch, design-forward corporate gifting and branding company experiencing continued growth. We are seeking a highly organized, extremely reliable, detail-obsessed Executive Personal Assistant to support the CEO, manage daily office operations, and assist with sales coordination.

    This role is the operational backbone of the company. You will be responsible for keeping the office running seamlessly, supporting sales workflows and ensuring the CEO’s time, priorities, and execution stay focused and efficient.

    This is not a hybrid role. In-office presence, reliability, and follow-through are non-negotiable.

    Key Responsibilities

    Office & Operations Management

    ● Own day-to-day office operations to ensure a smooth, calm, and well-organized environment

    ● Maintain office supplies, sample inventory, incoming deliveries, and outgoing shipments

    ● Manage shipping, receiving, and coordination with UPS/FedEx

    ● Oversee sample room organization, inventory tracking, and returns

    ● Track production timelines, follow up on open orders, and flag issues early

    ● Support warehouse coordination as needed (kitting, labeling, packing support during peak periods)

    Sales & Client Support

    ● Maintain order trackers, sales trackers, and internal reporting documents

    ● Assist with client presentations, proposals, and sales materials with guidance from the CEO

    ● Process company store orders and support fulfillment coordination

    ● Communicate tracking details and timelines clearly and accurately

    ● Perform margin calculations using pre-built tools

    ● Coordinate vendor quotes, samples, and timelines

    Executive Assistant to the CEO

    ● Provide direct, day-to-day administrative and operational support to the CEO

    ● Manage scheduling, priorities, follow-ups, and special projects

    ● Handle sensitive information with discretion and professionalism

    ● Assist with occasional personal or business-related errands that support CEO efficiency

    ● Act as a trusted execution partner — taking direction clearly and delivering without repeated reminders

    Who You Are

    ● Hyper-organized, detail-oriented, and process-driven

    ● Exceptionally reliable you do what you say you’ll do, every time

    ● Comfortable taking direct direction and executing independently

    ● Calm under pressure and able to juggle multiple priorities without chaos

    ● Tech-savvy with Google Workspace; familiarity with QuickBooks and project management tools a plus

    ● Professional, polished communicator (written and verbal)

    ● Willing to be fully present and hands-on in an in-office role

    ● Thrives in a fast-paced, growing company where no two days look exactly the same

    Compensation & Benefits

    ● Salary: $65,000 - $80,000 *depending on experience

    ● Paid Time Off: 2 weeks paid vacation

    ● Vacation Blackout Periods: June & July
