    Required Experience: 5 to 7 years in Law Firm Administration Location: Calgary office Based on experience Our ideal candidate will have: • Proven 5 to 7 years of Law Firm Administration experience • Ability to collaborate with law firm owners for effective implementation and execution • Proficiency in handling confidential information with professionalism and trustworthiness • Outstanding organizational and calendar management skills • Basic knowledge in Bookkeeping (external bookkeeper and accountant available) • Excellent technology skills with a quick learning ability • Strong communication skills (verbal and written) • Experience in client management and strong writing skills • Record of delivering accurate work with attention to detail • Energetic, enthusiastic, and team-oriented attitude • Ability to multitask, work under pressure, and remain focused • Willingness to learn new skills daily • Human Resources experience • Understanding of Law Firm Requirements and Obligations • Positive and proactive problem-solving approach • Proficiency in Word, Outlook, PowerPoint, and Excel • Sees this role as a profession, not just a job • High integrity and outstanding character Responsibilities: • Ensure timely handling of billing, accounts, and collections • Manage the processing of firm and client payables and the collection of receivables • Oversee petty cash reconciliations • Review the cash flow report weekly with the managing lawyer • Discuss monthly firm financial reports with the managing lawyer • Run firm payroll and administer benefits • Monitor Key Performance Indicators for all staff to ensure optimal performance • Supervise day-to-day law firm operations and ensure smooth functioning • Establish and uphold office administrative systems and procedures Qualifications: • Must have at least 5 to 7 years of Law Firm Administration experience, specifically working with law firm owners to implement and execute tasks efficiently • Proficiency in Word, Outlook, PowerPoint, and Excel is required; familiarity with CLIO Manage would be an advantage • Excellent organizational, time management, and problem-solving skills are essential for success in this role • Strong oral and written communication abilities are a must, along with keen attention to detail, to manage constraints effectively • Ability to handle multiple tasks of varying complexities and exhibit a willingness to take on new challenges to develop skills further • Should be able to work independently while supporting the team and reporting directly to the managing lawyer • Demonstrated track record of producing accurate, detailed work and maintaining confidentiality with sensitive information • An optimistic and enthusiastic approach to facing challenges and opportunities is highly valued in this role • Must possess outstanding calendar scheduling skills and be able to work in a high-pressure environment while remaining focused • Should have a cooperative attitude toward teamwork and a proactive mindset toward achieving team success
