Job Description
Pennsylvania Probate and Estate Firm, LLC is seeking an experienced probate and estate administration paralegal with at least 3 years of hands-on experience managing Pennsylvania probate files from petition to final accounting. You must have independently prepared and filed petitions for probate, notices, inventories, accountings, and related court filings. Familiarity with the Lackner 6-in-1 Estate Administration System is a plus.
This position requires on-site work at our Montgomeryville, PA office at the outset so the selected candidate can work closely with our attorneys on an active probate and estate administration caseload. Hybrid options can be discussed and structured after successful collaboration on these matters; however, this is not an ongoing, fully remote position.
We are seeking a paralegal who is committed to guiding families through the probate process with professionalism, efficiency, and compassion. Candidates should be well-versed in court procedures, document preparation, and the management of deadlines associated with estate administration. You must return phone calls and emails promptly and consistently use our technology systems to support efficient handling of a high volume of probate matters.
** Key Responsibilities:**
● Draft and file probate court documents, including petitions, notices, waivers, inventories, accountings, and closing statements.
● Prepare correspondence and forms for clients, courts, and financial institutions.
● Track probate timelines and court deadlines, ensuring timely filings and compliance.
● Communicate with court clerks and maintain current knowledge of local rules and filing requirements.
● Manage case files, task lists, and calendars using cloud-based legal software, including Clio and Lackner 6-in-1 Estate Administration System.
● Assist with marshalling assets, preparing reports, and tracking distributions.
● Maintain proactive, professional communication with clients during standard business hours (9 AM – 6 PM), providing status updates and next steps before they ask.
** About You:**
● Minimum of 3 years of recent probate and estate administration paralegal experience in Pennsylvania.
● Skilled in preparing and filing probate documents with minimal supervision.
● Familiarity with Pennsylvania probate processes and court systems.
● Strong organizational skills and the ability to manage multiple deadlines and case files simultaneously.
● Experience communicating with court personnel, financial institutions, and clients in a professional, responsive manner.
● Familiarity with cloud-based legal software such as Clio, MyCase, or similar.
● If working in a hybrid schedule, ability to work securely from home using firm-approved technology and a strong broadband connection.

** Requirements:**
● Associate’s degree in paralegal studies or a minimum of 3 years of recent paralegal experience in probate or estate administration.
● Availability to respond to client requests ideally within two hours and at a minimum within the same business day, Monday through Friday, 9 AM – 6 PM.
● Schedule is typically full-time, but part-time may be considered for the right candidate based on fit and firm needs.
● Ability to work onsite at our Montgomeryville, PA office, with potential hybrid flexibility after training.

** Compensation and Benefits:**
● Pay: $60,000 – $95,000 per year, commensurate with experience.
