Position Summary
The Closing Processor is responsible for managing residential and commercial real estate transactions from title clearance through closing and post-closing. This role serves as the primary coordinator between lenders, attorneys, buyers, sellers, real estate agents, and internal staff to ensure smooth, accurate, and timely settlements.
Essential Duties and Responsibilities
File Management
Review new orders and establish transaction files in the title production system.
Verify receipt of all required documents and information.
Monitor transaction timelines and closing deadlines.
Maintain accurate file notes and communication records.
Pre-Closing Responsibilities
Review title commitments and clearance requirements.
Communicate with lenders regarding loan documentation and closing conditions.
Obtain and review homeowner's insurance information.
Coordinate with attorneys, buyers, sellers, and agents to resolve outstanding issues.
Prepare settlement statements and closing disclosures as directed.
Schedule closings and confirm all parties' availability.
Closing Coordination
Ensure all lender conditions and title requirements have been satisfied prior to closing.
Verify receipt of closing funds and lender packages.
Review closing documents for accuracy and completeness.
Communicate final closing figures to all parties.
Assist settlement staff with last-minute transaction issues.
Post-Closing Support
Confirm execution and return of required documents.
Coordinate file transfer to post-closing department.
Ensure all file documentation is complete and properly organized.
Assist with funding and recording requirements when necessary.
Customer Service
Serve as the primary point of contact for assigned transactions.
Provide timely updates to clients, lenders, attorneys, and real estate professionals.
Respond professionally to inquiries and resolve transaction issues promptly.
Maintain a high level of customer service throughout the closing process.
Qualifications
Required
High school diploma or equivalent.
2+ years of title, escrow, real estate, mortgage, or closing experience.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Ability to manage a high-volume pipeline while meeting deadlines.
Strong attention to detail and accuracy.
Preferred
Experience with Qualia or other title production software.
Knowledge of New Jersey title insurance and closing practices.
Understanding of mortgage lending and settlement procedures.
