    Job Description

    The Human Resources Assistant is responsible for supporting the day to day administrative transactions relating to all phases of the employee life cycle activities, such as recruitment, onboarding, employee data maintenance, and general routine reporting. The Human Resources Assistant will also be responsible for  maintaining electronic employee HR files and HRIS and receiving and coding all HR invoices.

    • Respond to routine employee and manager questions regarding human resources related topics (i.e. benefits, leave administration).
    • Conduct recruiting activities for all operations including:
      • Create requisitions.
      • Post jobs (internal and external).
      • Review resumes.
      • Set phone interviews.
      • Set manager phone interviews
      • Coordinate in-person interviews; book travel when necessary.
      • Work with HR Manager and Hiring Manager to put together offer letters.
    • Conduct onboarding activities including:
      • Send candidates new hire forms.
      • Initiate background screenings (drug and background).
      • Send necessary onboarding e-mails to onboarding group and Controller and hiring manager.
      • Book travel when applicable.
      • Set up new hire in HRIS and payroll systems and create employee folders
      • Prepare new hire orientation paperwork.
      • Completes I-9 and maintains I-9 files
    • Create and distribute reports on a monthly, quarterly, and annual basis.
    • Files documents in appropriate electronic employee files Conducts or assists with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, payroll audits, and other compliance reviews.
    • Perform transactions and prepare documentation required for employee changes such as name, position, salary, and status in HRIS.
    • Lead employee activity planning (i.e. Employee Appreciation Day, holiday party, United Way drive, Wellness activities).
    • Participate and support HR projects and initiatives.
    • Maintain focus on continuous improvement by applying key Lean Manufacturing, 80/20, PLS, and USa production principles/techniques and makes process improvement recommendations to supervision.
  • Qualifications

    Qualifications

    Associates degree in HR or related field (bachelor’s degree preferred)

    • Minimum 2 years working in a Human Resources function or administrative role.
    • Knowledge of recruitment, employee relations, and legal compliance requirements.
    • Knowledge of federal, multi-state and local employment laws.
    • Strong customer service skills
    • Excellent Microsoft Office and HRIS skills; Workday and/or Ceridian skills a plus
    • Strong attention to detail, follow through, problem solving, and organizational skills
    • Strong written/verbal communication skills; demonstrates good listening skills; able to communicate status on process with colleagues, keep team members informed, and responds clearly to employee inquiries.
    • Demonstrates the ability to have a positive and friendly attitude in working with all levels within the organization.
    • Independent and organized work style: Effectively manage time and prioritize work load, assume and manage multiple tasks, adapt to change, and consistently meet deadlines.
    • Ability to make independent decisions and regularly suggest ways to improve services and processes.
