    JOB SUMMARY: 

    Face to Face Health and Counseling is a non-profit organization dedicated to meeting the__ needs of youth ages 11–24. We offer health care, counseling, and programs for homeless youth.

    The Accounting Specialist performs various accounting functions for the agency, including managing the general ledger; performing month and year end close; managing all grant billing; assisting with audits; and supporting agency program staff with financial and budget management. This is a high-level staff accountant position.  The right person for this position will have the skills needed to perform both daily routine accounting tasks and complex monthly entries.  This person will work closely with the Director of Finance to improve internal processes.

    RESPONSIBILITIES:

    ACCOUNTING

    • Manage general ledger, including preparing and reviewing journal entries, maintaining chart of accounts, recording monthly allocations, and posting payroll and benefits entries;
    • Perform monthly and year-end closing procedures as determined by the Director Finance;
    • Provide accounting assistance to agency staff and respond to questions/concerns as they arise;
    • Prepare state and federal regulatory filings as requested;
    • Assist with annual audit and budget preparation;
    • Ensure accuracy and timeliness of all work, researching/reconciling all discrepancies and performing internal audits as needed;
    • Process agency accounts receivables, ensuring proper coding and documentation for all transactions;
    • Manage agency petty cash process;
    • Prepare and deliver weekly bank deposit;
    • Work with Billing Coordinator to process patient payments made at the front desk and to regularly reconcile front desk cash drawers;
    • Process agency accounts payable & credit card reconciliation when Accounting Clerk is unavailable;
    • Follow all accounting and internal control policies, procedures and systems;
    • Maintain confidentiality of donors and clients in accordance with HIPAA, data privacy laws, standards and ethics; and
    • Assist with providing financial data and analysis as it relates to agency financials;
    • Equip other agency staff with training on financial tools as needed;
    • Assist with improving efficiently and accuracy of agency financial processes;
    • Assist with review and updating of financial procedures; and,

     Grant Billing & Management

    • Create and maintain expense tracking spreadsheets for all grants and contracts using established budgets;
    • Prepare financial status reports and reimbursement requests to submit to government entities and foundations on a monthly basis;
    • Prepare real time grant spending updates for program staff;
    • Work with program teams to implement new grants and grant billing processes;
    • Participate in state, grant, or other financial reviews and audits; and,
    • Perform other duties as assigned.

    QUALIFICATIONS:

    • Minimum of 3 years of non-profit accounting experience with increasing responsibilities; 
    • Bachelor’s Degree in business, finance, or accounting (additional experience may be accepted in lieu of a degree);
    • Excellent computer skills (including Microsoft Excel, Word, Internet and e-mail);
    • Proficiency in computer-based accounting systems, Quickbooks experience preferred;
    • Excellent interpersonal, verbal and written communication skills;
    • High level of accuracy and attention to detail;
    • Exceptional organizational skills;
    • High degree of problem-solving skill;
    • Ability to understand and work in a setting with complex programs & funding sources;
    • Ability to work both independently and as part of a team;
    • Ability to maintain confidentiality and exercise judgment over the treatment of sensitive issues; and
    • Demonstrated ability to work and communicate effectively with people of diverse ethnic, economic, racial and cultural backgrounds.

    TYPICAL DEMANDS AND WORKING CONDITIONS:

    • This job is full-time at 37.5 hours a week
    • Ability to perform the duties outlined in the job description; and
