    JOB SUMMARY: 

    Face to Face Health and Counseling is a non-profit organization dedicated to meeting the needs of youth ages 11–24. Health care, counseling, and programs for homeless youth are the services provided.

    The EXECUTIVE ADMINISTRATIVE COORDINATOR provides general administrative support to the Executive Director (ED) and the Board of Directors of Face to Face. This position is key to the efficient coordination and maintenance of all Executive Director and Board related functions and responsibilities.

    This is a part-time position at 24 hours a week.

    RESPONSIBILITIES:

    BOARD SUPPORT

    • Maintain and update Board membership, terms and bios;
    • Coordinate with the Board Secretary in the development and maintenance of Google Drive of Board documents and access;
    • Maintain and update Board orientation packets;
    • Coordinate and prepare for Board and Board Committee meetings, including coordinating calendars, preparing materials, food, coordinating technology;
    • Ensure efficient Board functioning by coordinating meeting schedules, events and maintenance of documents;
    • Prepare correspondence as requested by the ED and Board Chair; and,
    • Coordinate and prepare for meetings, events, calendars of the ED, Board and Board Committees.

    EXECUTIVE DIRECTOR SUPPORT

    • Provide overall administrative support to the ED, including calendar and email management;
    • Track project and task deadlines for the ED;
    • Handle basic task and project coordination for the ED;
    • Prepare memos and correspondence as directed by the ED;
    • Update donor database with information regarding ED correspondence with donors and community members; and
    • Provide logistical support for ED and organization-wide meetings and events; and,
    • Provide support for the Leadership Team as assigned by the ED.

    OTHER

    • Support the values, mission and culture of the organization;
    • Support Leadership Team in various projects & tasks as assigned;
    • Participate in all-staff trainings as requested;
    • Participate as needed or directed in Agency events and activities.
    • Other duties as assigned.

    QUALIFICATIONS:

    • Post High School degree with equivalent administrative support experience;
    • Excellent verbal and written communication skills;
    • Proficiency in various software applications, including word processing, spreadsheets, graphics, publishing and presentation software;
    • Ability to anticipate needs and initiate communications and solutions;
    • Ability to multi-task, prioritize, meet deadlines and manage extensive workloads in a fast-paced environment;
    • Demonstrate a proactive approach to problem solve with strong decision-making skills;
    • Demonstrate the ability to work and communicate effectively with people of diverse ethnic, economic, racial, and cultural backgrounds.

    PHYSICAL DEMANDS AND WORKING CONDITIONS:

    • Ability to perform the duties outlined in the job description.
    • Ability to perform duties and responsibilities typical of an office environment.
    • Ability to work at a desk for several hours at a time.
    • Ability to lift up to 10 lbs.
