    Job Description

    BACKSTORY

    We’re a marketing software company that serves small business owners, primarily financial advisors and insurance agents. About 25,000 small businesses use our tools and send out our content. Generally, these businesses don’t have marketing departments but are growth-minded enough to know they need to market themselves. Our software helps them do just that. We automate email and social campaigns to drive traffic back to their websites, helping them build better relationships with their customers with less hands-on effort.

    ABOUT THE ROLE:

    We are looking for someone with the ability to manage a diverse set of responsibilities. Someone who enjoys working with amazing people, who is organized and can manage many details helping ensure the smooth administrative operations of the Executive team, San Diego Corporate Office and the People Team.

    This position is part-time with 25 hours weekly and the ability to set a flexible regular in-office schedule.

    ESSENTIAL RESPONSIBILITIES:

    • Supports the Executive leadership team through a variety of responsibilities including:
      • Calendaring and schedule management including in-person and virtual
      • Off-site event planning & coordination
      • Assist in booking and coordinating Executive travel
      • Liaison to the Administrative staff of the Board of Directors
      • Executive guest support and meal/food management
      • Arrange travel logistics, as needed
      • Other Executive administrative support tasks as assigned
    • Supports the San Diego Corporate office through a variety of responsibilities including:
      • Answer incoming office phone line(s)
      • Mail reception and distribution
      • Maintaining & stocking Office & Kitchen supplies
      • Oversees office related vendor relations and scheduling (ie. FedEx, Custodial, Maintenance, Water Supplier, etc)
      • Other administrative tasks as assigned
    • Supports the People Team through a variety of responsibilities including:
      • Manages People Team incoming mail
      • Supports Company-wide Event Coordination including company-wide meetings, activities and recognition events
      • Supports employee recognition, sympathy and congratulatory communication
      • Other administrative tasks as assigned
      • Maintains confidentiality and discreteness in all aspects of position

    SKILLS AND QUALIFICATIONS:

    • Excellent written and verbal communication skills
    • Scheduling & calendaring experience within multiple calendars
    • Proficient in Microsoft Office Suite & Google Suite
    • Organized and detailed oriented
    • Able to manage multiple projects at once – assigning priority as needed
    • Professional demeanor and dress

    EXPERIENCE:

    • 2+ years Administrative Assistant experience, required
    • 2+ years of Executive level support, preferred
