    FYZICAL Therapy and Balance Centers in Santa Cruz, CA is in search of a full-time, Office Manager.

    Summary

    Manages and executes a variety of general office activities by performing the following duties.

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    Greets and directs clients, salespeople, and visitors.

    Answers telephone and either responds to inquiry or directs caller to appropriate personnel.

    Schedules appointments and enters appointment dates and time into computerized scheduler.

    Records when appointments have been filled or canceled.

    Tracks referral sources of patients and conversion of referrals into appointments.

    Registers new clients with the office by collecting and inputting information into system and updating existing client info as needed.

    Contacts client insurance company for verification of insurance benefits and to understand requirements needed for coverage of physical therapy visits.

    Receives payments for services provided.

    Develops, evaluates, implements, and revises policies and procedures related to billing and reimbursement activities.

    Ensures accounts receivable records are maintained in a confidential manner and in accordance with standard accounting procedures.

    Monitors accounts sent for collection and reimbursements from insurance companies and other third party payers.

    Reviews, monitors, and evaluates third party reimbursement compliance and researches variances.

    Keeps abreast of all reimbursement billing procedures of third party and private insurance payers and government regulations.

    Prepares reports, statistics, and surveys related to billing, collections, and reimbursements.

    Identifies inefficiencies throughout the workplace and presents and implements plans and solutions for best practices.

    Analyzes and organizes productivity through proficient use of appropriate software applications.

    Researches and develops resources that create timely and efficient workflow.

    Qualification

    Education and/or Experience

    Bachelor’s Degree (B. A.) from Four Year College or University; or one to two years related experience and/or training; or equivalent combination of education and experience.

    Language Skills

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

    Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

    Reasoning Ability Ability to define problems, collect data, establish facts, and draw valid conclusion. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

    Computer Skills To perform this job successfully, an individual should have knowledge of Email, Excel, Word, Database software; and be comfortable in navigating and generating reports out of various applications.

    Other Qualifications

    50% of this job lies in the ability to work independently and offer productive solutions for process improvements to increase schedule maximization, billing reimbursements and overall productivity and profitability.

    Ability to maintain a flexible work schedule including early morning, late evening, and weekend hours as needed.

    At times, this position requires hours in excess of 40 hours per week.
