Job Description
Overview:
We are seeking a highly motivated and accomplished Facilities Associate to oversee the daily maintenance and operations of our Strategy North America office spaces. This role is critical in ensuring our facilities run smoothly and efficiently.
Key Responsibilities:
Access Control and Surveillance: Support the management and upkeep of the physical access control and video surveillance systems at Strategy’s headquarters.
Financial Oversight: Contribute to the preparation of the annual facilities budget, reconcile monthly expenses, and review and approve invoices.
Procurement and Contracts: Assist in the facilities procurement processes and manage contracts effectively. Conduct cost analysis for services and projects to streamline internal procurement operations.
Vendor and Contractor Coordination: Serve as the primary point of contact for vendors and contractors, ensuring effective communication regarding maintenance, services, and repairs, and provide regular project status updates.
Inventory Management: Oversee and maintain inventory levels for office supplies, copiers, printers, kitchens, lounges, gym, and other communal spaces.
Facility Management: Provide comprehensive facility management services, including ongoing monitoring of Strategy North America offices to ensure optimal operation.
Customer Service: Address employee inquiries and concerns promptly, ensuring high-quality issue resolution and fostering customer satisfaction through follow-up.
Mailroom Operations: Manage all mailroom activities, including the efficient handling of shipping, receiving, and package delivery.
Onboarding/Offboarding Support: Assist with the processes of onboarding and offboarding employees to ensure a smooth transition.
Required Qualifications and Skills:
Demonstrated qualities such as Motivation, Innovation, Passion, Integrity, Teamwork, and a Customer-Focus mentality.
Education: Bachelor’s degree (preferably in Business, Engineering, or Architecture).
Experience: 1-3 years of relevant experience in facilities management.
Technical Skills: Working knowledge of Microsoft Office applications.
Attributes: Excellent organizational skills and attention to detail.
