Job Summary: Osi Vision is seeking a detail-oriented and proactive Facilities Management Office Support Specialist to support the Army National Guard’s Facilities Management Office (FMO) in managing and coordinating tasks related to the Guard Enterprise Installation Platform (GEIP) and associated systems. The role involves daily task management, technical support, data administration, and compliance with established policies and procedures.
Key Responsibilities:
1. Enterprise Task Management Software Solution (ETMS2) Administration:
- Monitor, review, assess, and manage FMO tasks assigned through the ETMS2 database daily, ensuring proper staff action and coordination.
- Coordinate with personnel across five branches and Headquarters to meet task deadlines and suspense dates.
- Prepare responses, request timeline extensions, and create deliverables using approved National Guard Bureau templates and memoranda.
- Coordinate with ARNG and HQDA directorates as needed for task completion.
- Maintain a monthly ETMS2 tracker for internal FMO use, presenting it to the branch chief for review and approval.
- Research and resolve ETMS2 task issues, escalating to the appropriate branch chief as needed.
- Attend annual training, meetings, workshops, and briefings to maintain proficiency in ETMS2 functionality.
- Present weekly findings to the branch chief.
2. GEIP Administrative Support:
- Monitor and respond to requests in the GEIP organization mailbox for PERSTAT access, account activation/deactivation, permissions, and Joint Staff personnel issues.
- Provide technical support and guidance to Facilities personnel on GEIP system usage, including account creation, parking pass issuance, and troubleshooting.
- Participate in weekly quality control sessions with the FMO GEIP team to review access data, identify issues, and report findings to the branch chief.
3. TARC Vehicle Parking Processes and Records Management:
- Analyze and provide data on vehicle decals and personnel to the FMO GEIP team.
- Support records management for parking decals per Army Records Management System (ARIMS) AR 25-1, assisting with mass vehicle registration events as needed.
- Maintain and update Van Pool and Ride Share (VP/RS) data in the Electronic Security Systems (ESS) and GEIP databases, ensuring compliance with installation parking policies.
- Provide technical support for GEIP web-page services, managing updates and changes.
4. GEIP Parking Module Management:
- Update and maintain accurate data in the GEIP Parking Module per TARC policies.
- Collaborate with the GEIP web development team to implement updates and facilitate training for the FMO GEIP team on new features.
5. Standard Operating Procedures (SOPs), Policies, and Training:
- Ensure compliance with TARC SOPs and policies for Exception to Policy (ETPs), passes, and motorcycle cards in the VP/RS Program.
- Provide guidance to ensure TARC’s GEIP usage aligns with directives, SOPs, and policies, assisting in creating new directives/SOPs as needed.
- Support the VP/RS Program by coordinating and facilitating town halls and training sessions for active members.
6. GEIP Data Management and Reporting:
- Upload data, including ESS, personnel rosters, and organizational structure changes, into GEIP databases.
- Generate management and data reports from GEIP to support supervisors and program managers.
- Provide customer support and user training on accessing and interpreting GEIP data.
Qualifications:
- DoD Secret Security Clearance
- Bachelor’s degree in a related field (e.g., Information Technology, Business Administration) or equivalent experience.
- Experience with database management, task coordination, or technical support in a professional setting.
- Familiarity with Army or government systems (e.g., ETMS2, GEIP, ARIMS) is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and coordination skills to work with diverse teams and stakeholders.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office and database software.
- Ability to attend and contribute to meetings, briefings, and training sessions as required.
