    Facility Manager – Paul Davis Restoration

    Location: St Paul, MN (Based at Paul Davis office) Job Type: Full-Time, Non-Exempt

    About the Role

    Paul Davis Restoration is seeking a highly organized and proactive Facility Manager to maintain our operational excellence. This pivotal role ensures that our St Paul facility, fleet of vehicles, and all equipment are in peak condition, providing our team with an optimal work environment and presenting a professional showroom to our customers.

    The ideal candidate is detail-oriented, a strong communicator, and thrives in a dynamic environment where their proactive approach directly contributes to the success of our emergency response teams.

    Reporting Structure

    Reports To: Operations Manager

    Supervises: ERT (Emergency Restoration Team) Technicians

    Evaluated By: President, Operations Manager, Peers

    Core Responsibilities

    The Facility Manager ensures smooth daily operations across three key areas:

    1. Facility & Infrastructure Management

    Maintenance & Safety: Conduct daily checks to maintain a clean, organized, and safe facility, ensuring no safety issues and a consistently excellent condition.

    Budgeting & Vendors: Create and manage budgets for facility repairs and maintenance. Perform quarterly reviews of all vendors to ensure competitive pricing and high-quality service.

    Compliance: Ensure all chemicals are stored properly with current SDS sheets readily available, meeting all OSHA regulations.

    Logistics: Manage deliveries, verify receiving tickets against materials, and assist the Contents Manager with warehousing tasks as needed.

    Security: Responsible for daily closing procedures, including lights, doors, and alarm systems.

    1. Equipment & Inventory Oversight

    Maintenance & Readiness: Ensure less than 2% of the equipment fleet is down at any given time. This includes daily checks, cleaning, testing damaged items, and coordinating necessary repairs (in-house or subbed out).

    Inventory Control: Maintain a comprehensive inventory and status log of all Paul Davis assets, including equipment, job site signs, and consumables.

    Supply Management: Maintain consumable inventory levels weekly, constantly investigating cost reduction opportunities, and performing weekly evaluations of supply racks to organize and clean out old items.

    1. Fleet Management

    Vehicle Readiness: Ensure all company vehicles are serviced in a timely manner. Coordinate all inspections, registrations, and repairs.

    Fleet Strategy: Manage vehicle budgets and perform quarterly reviews to present plans for vehicle acquisition or liquidation to the VP of Operations & President.

    Field Support: Be available to transport large equipment or materials for major projects and provide problem-solving support to after-hours on-call teams if vehicle issues arise.

    Key Performance Metrics (Evaluated On)

    Success in this role will be measured by performance in these areas:

    Equipment: Less than 2% of fleet down at any given time.

    Facility: Maintained in excellent condition with no safety issues.

    Receiving: No missing orders.

    Budget Adherence: Maintaining target percentages for auto, emergency materials, and contents material expenses relative to sales.

    Basic Requirements

    High School Diploma or equivalent.

    Valid Driver's license and clean driving record (mandatory).

    Excellent teamwork and management skills.

    Highly organized with strong attention to detail.

    Proactive approach to problem prevention.

    Technical knowledge of equipment and minor electrical knowledge.

    Computer Skills (basic proficiency).

    Basic auto maintenance skills are a plus, but not mandatory.

    Hours & Compensation

    Hours: Full time, Monday through Friday, 7 am – 5 pm. The nature of emergency restoration may require after-hours availability, including weekends and/or holidays.
