    Job Description

    You will: 

    • Facilitate and manage support of the FJP senior leadership team and other staff with program duties related to grant and contract management, project logistics, and other operations-related functions, including overseeing operations associates and administrative staff  
    • Oversee the operation of FJP's administrative and fiscal functions, including expense reimbursements, processing of travel requests, handling of space needs, oversight of contracts and contract amendments, and administration of grants and grant reporting
    • Manage and oversee the operations and administration of training events, roundtables, and other activities, with faculty, attendees, and partner agencies, managing registration, and working with the FJP team to develop and implement high-quality content 
    • Manage and oversee scheduling and FJP presentations, meetings, and events 
    • Plan and oversee FJP site visits and convenings, including overseeing the preparation of agendas and program materials, in consultation with the FJP team 
    • Manage flow of communications between FJP and external participants (District Attorneys and other elected officials)  
    • Oversee and assist with operations of FJP’s Summer Fellows program
    • Perform other duties as requested in support of FJP’s program activities 
    • Help coordinate hiring activities 
    • Track program activities and performance 
    • Oversee the management and operation of FJP’s website and social media platforms.

    • May assist with any other requests from FJP leadership
  • Qualifications

    Qualifications

    EDUCATION AND/OR EXPERIENCE

    You have a demonstrated interest in the issues of fairness and equity and are interested in working with key changemakers to shrink our justice system. Additionally, you have the following education, experience, skills, and abilities: 

    • Bachelor's degree of equivalent and 2-3 years of supervisory and/or operations management experience preferred, however, we value diverse educational and experiential backgrounds and an equivalent combination of education, training, and experience will also be considered
    • Ability to work well with others and maintain strong relationships with multiple agencies and organizations including proven track record of success working in a flexible, collaborative environment 
    • Strong written and interpersonal skills a must. Candidate must be a skilled communicator able to work in a multi-disciplinary setting -- ability to communicate effectively with external partners including elected officials, consultants, and project staff  
    • Exceptional problem-solving skills and ability to prioritize and do many tasks simultaneously, follow through, and meet deadlines in a fast-paced environment  
    • Well-organized and highly attentive to detail 
    • Flexible and able to work cooperatively under pressure 
    • Ability to quickly synthesize information and self-direct day-to-day activities

     

    KNOWLEDGE, SKILLS, AND ABILITIES

    • Basic financial literacy and comfort preparing financial reimbursement forms, expense reports, and other budget-related documents 
    • Strong proficiency with Microsoft Word, Excel and PowerPoint, G-Suite experience a plus
    • Ability to respond to requests and inquiries in a timely manner
    • Ability to juggle multiple tasks, prioritize and to follow up with pending matters in a timely manner
    • Strong understanding of non-profit accounting practices and financial reporting
    • Strong writing, research and oral communications skills
    • Ability to work in a non-traditional environment and to interface with team members virtually

    ORGANIZATIONAL RELATIONSHIPS

    The Operations Manager will work closely with the Executive Director, other FJP senior staff and team members, grantees, and contractors.  

    PHYSICAL DEMANDS 

    The project requires extensive home computer and telephone time and usage, research and writing. The position also requires some travel throughout the nation and will require the ability to travel by air or car to various parts of the nation.  Light lifting up to 10 pounds may be needed. 

    WORK ENVIRONMENT

    The position will work from a home office.  While on travel, the Operations Manager may work from airports, hotel rooms, offices or space of other organizations or bodies.
