  • Responsibilities

    Under the supervision of the Senior Event Manager, the Event Manager, supervises and coordinates client events at Fairplex and directs the operations of the facility to exceed the customers’ expectations. During the annual Los Angeles County Fair, assists the Commercial Sales and Event Management departments in their operational activities. The individual must perform diversified duties and special assignments requiring the application of training, experience, initiative and judgment. It is imperative to carry out these duties with the utmost professionalism as errors may cause considerable confusion, economic consequences and/ or adversely effect client relationships.

    PRINCIPAL DUTIES AND RESPONSIBILITIES

    • Plan and manage all Fairplex services for customer events. • Develops and maintains professional communication with clients before, during and after each event. Maintains high visibility during assigned events. • Prepares Event Cover Sheets which detail all client requests and communicates to all departments’ service expectations contracted by clients. • Serves as the facility representative to licensees before and during assigned events. • Evaluate the provision and performance of security, environmental services, parking and other services during all event productions. At times directs support personnel. • Is directly involved with problem resolution and immediately addresses all complaints from clients, general public and neighboring communities • When necessary interpret and enforce the Facility and License contract, Fairplex Event Guidelines, and Fairplex Fire and Safety Rules during events. • Prepare work orders for all events as necessary • Prepares post event reports at the conclusion of each event. • Makes recommendations and corrective action plans to address operational deficiencies from events. • Supervises assignments as directed by Senior Event Manager. • Maintains monthly report on conditions of buildings, gates and outside areas. • Supervises the placement and numbering of all commercial booths and oversees the Area Supervisors and Area Coordinators during the annual L.A. County Fair. • Participates in the weekly Operations meeting reviewing and communicating all necessary details to the operations support staff for all assigned events. • Contracts and negotiates with vendors for equipment and supplies. • Reviews the Sales contract and evaluates that all necessary required services and equipment have been contracted and are within the budgetary guidelines. Make all necessary changes and addenda to the contract as other services or equipment are requested by the client. • Review and audit final invoice prior to distribution to client. Work with the client to reconcile any disputed charges. • Other duties as required.

    Required Skills

    • Bachelor’s degree in Hospitality Management or 2 years of experience in coordinating a variety of events and activities preferred. • Ability to communicate effectively with promoters, service providers and the general public. • Ability to direct the work of others during events and be able to communicate effectively orally and in writing. • Must possess good organizational skills and be able to coordinate multiple up- coming events while over seeing multiple current events. • Must have strong computer skill and understanding of the financial metrics involved in the performance of their duties. • Must be able to work evenings, weekends and the hours required to fulfill the principal duties and responsibilities and be able to work all days of the Los Angeles County Fair.

    PHYSICAL REQUIREMENTS OF JOB

    1. Ability to move around the grounds, walk up and down stairs, walking/roving floor during a show and be on their feet for a long periods of time.
    2. Ability to lift a minimum of 25 pounds.
    3. Requires a valid California driver’s license and the ability to drive a golf cart
    4. Reading and interpreting floor plans as submitted by show managers and fire department.
    5. The ability to communicate on the phone and on a hand held 2-way radio
