We are a family law and immigration law firm seeking a professional, organized, and dependable Receptionist to support our front office operations. This position is the first point of contact for clients, potential clients, vendors, and guests, and plays an important role in helping the office run smoothly. The ideal candidate is friendly, detail-oriented, able to multitask, and comfortable working in a fast-paced legal environment. This role requires professionalism, confidentiality, and strong communication skills. Responsibilities: • Manage incoming and outgoing mail and handle deliveries • Arrange appointments for employees and keep the calendar up-to-date • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions • Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed The Receptionist will assist with daily office operations, including but not limited to: • Answering and routing client calls in a professional and timely manner • Greeting clients, visitors, and vendors when they arrive at the office • Setting up conference rooms for meetings, consultations, and appointments • Managing and restocking office supplies • Preparing and maintaining calendars as needed • Assisting with client meeting preparation • Helping keep the office organized, clean, and professional • Supporting attorneys, paralegals, and staff with administrative tasks • Taking clear messages and ensuring they are routed to the appropriate team member • Assisting with basic client communication and follow-up as directed • Scanning, copying, filing, and organizing documents • Maintaining confidentiality of client and firm information at all times Qualifications: • Has experience answering telephone calls and troubleshooting stressful situations • At least one year of receptionist or administrative assistant, experience, or similar preferred • Has previous experience with word processing programs and basic computer skills • High school graduate, G.E.D. recipient, or equivalent • Prior receptionist, administrative, or law firm experience preferred • Experience in family law or immigration law is a plus, but not required • Strong verbal and written communication skills • Professional and friendly demeanor • Ability to multitask and stay organized • Reliable, punctual, and able to work in person • Comfortable answering phones and interacting with clients • Basic computer skills, including email, calendars, and document handling • Ability to handle sensitive information with discretion and confidentiality • Bilingual ability is a plus, but not required • Ideal Candidate: The ideal candidate is someone who takes initiative, enjoys helping people, and understands the importance of creating a positive first impression for the firm.
