    PURPOSE STATEMENT

    Detail oriented, results driven, highly organized - do people describe you as these? Do you thrive in a fast paced environment where your input matters and is valued? The Family Office Account Specialist may just be the role you have been waiting for!

    KEY ACCOUNTABILITIES/OUTCOMES

    Income and Expense Management

    • Disburse payments for all invoices with guidance from supervisor

    • Submit monthly Chrome River Expense reports for corporate American Express accounts

    • Disburse payments for all personal property repairs and renovations

    • Submit check requests for corporate expenses

    • Copy, scan, record and mail incoming deposits to appropriate banks

    Data Entry, Reporting and Account Management

    • Manage, open, label and disburse monthly reports for retirement accounts

    • Record and categorize deposits and transactions in Quicken

    • Manage Global One Calendars

    • Track any insurance claims (incoming checks/outgoing expenses) in Excel format

    • Checking account reports:

    • Export year-end Quicken reports in PDF and Excel format

    • Scan in physical check registers and upload to applicable system

    • Export reports as needed/requested.

    Document Management

    • Copy, scan and upload all relevant expenses, days back-up

    • Document Filing in office:

    • Filing of all paper copies of paid bills, tax docs, brokerage reports, insurance statements, etc.

    • Manage file retention

    • Update Procedure Book and Filing book as needed

    • Creating files for new accounts

    • Other responsibilities as assigned as part of a team environment.

    KNOWLEDGE/SKILLS/EXPERIENCE

    • Bookkeeping and accounting experience preferred

    • Experience with Quicken / QuickBooks, or accounting based software is preferred

    • Experience working with senior level executives preferred

    • Tax preparation and/or payment experience is helpful and is a plus

    • Strong attention to detail, self-starter, ability to manage multiple priorities

    • Confidentiality / discretion

    • Ability to take direction and have the ability to move with an ever changing environment

    • Digitally comfortable / adaptable / agile
