    Job Description

    Job Title: Sourcing Coordinator, Administration Shift: Hybrid, FT 7:30am-4:00pm

    Reports to: Sourcing Manager Status: Hourly

     

    JOB SUMMARY

     

    The Sourcing Coordinator assists with the procurement of over 34 million pounds of food that travels through Feeding San Diego’s (FSD) distribution center in support of FSD’s overall mission of ending hunger in the community. Among other responsibilities, the primary function of the Sourcing Coordinator is to source all types of food both donated and purchased.

     

    The area of focus be scheduling all incoming food orders. Understands meal categories and ensures food flows in smoothly and that no one category is either over-saturated nor short stocked. To do this effectively this role is able to analyze data to assist with not only decision making in scheduling incoming loads but to understand trends for both incoming and outgoing food.

     

     

    ADMINISTRATION

    · Ensures all purchase orders (Shelf Stable and Frozen) are created and updated with expected arrival date, item numbers, and sales order numbers in Ceres.

    · Creates donation orders for incoming donations as needed.

    · Coordinates with the Transportation Manager for local donation pick-ups as needed

    · Manages the item request log for new incoming products and updates the purchase orders

    · Maintains the Purchase order log in Smartsheets with communications on each load such as delay’s modifications, confirmed appointments etc. Updates the purchase order accordingly

    · Runs weekly and monthly reports on purchased product and maintains reporting spreadsheets

     

     

     

    PURCHASING

    · Assists with the procurement of shelf stable items and frozen protein from comparing prices, and establishing auto-replenishments with vendors, to creating the purchase order, making the delivery appointment and following the purchase order until the day of arrival.

     

     

    IMPERATIVE TO THIS ROLE

    Imperative to this role is someone who enjoys analyzing data, with strong excel and reporting skills. Thrives under pressure and is productive independently and also an effective collaborative.

    Positive attitude, Critical thinker, and the ability to provide excellent customer service to both internal and external stakeholders.

    Ability to identify select vendors with high quality and nutritious products at the most competitive

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    The following duties and responsibilities are those considered to be essential but do not represent all job functions that may be required to be performed by this position in support of FSD’s mission

    · Collaborates with the Warehouse Manager to ensure capacity is exceeded at any given time.

    · Collaborate with our Transportation Manager to ensure seamless donor pick up transactions.

    · Actively engage and build relationships with other hunger relief organizations to maximize learning and sourcing opportunities.

    · Provide administrative support for sourcing related functions (purchase and donation order creation, data entry, scheduling appointments, filling, etc.).

    · Interpret FSD nutrition guidelines and ensure that sourced product meets FSD standards.

    · Review inventory (CERES) and forecasts indicating product movement and needs.

    · Actively learn about the food system and use this knowledge to source additional product and represent FSD at food industry events including trade shows, association meetings, and network conferences.

     

     

    INTERACTION The Sourcing Coordinator will interact closely with employees from the Warehouse, Transportation Manager, Finance, and Programs departments, as well as community partners including donors, vendors, and representatives from other hunger relief organizations.

  • Qualifications

    Qualifications

    EDUCATION/YEARS EXPERIENCE

    Any combination of educational and work experience that would be equivalent to the stated minimum requirements would qualify for consideration of this position.

     

    Required

    · Proficient in Excel, Microsoft Word

    · High School Diploma/GED

    · Excellent customer service skills

    · Self Starter

    · Ability to drive and access to reliable transportation and possess and maintain a valid California’s driver’s license as well as insurance coverage

     

     

    Preferred

    · Bachelor’s degree with an emphasis on Business Management, Supply Chain Management, or Agricultural Business

    · Bilingual English/Spanish

    · Two years of experience working in a procurement or sales or food system role

    · Previous experience representing an organization

    · Previous experience with cGMP practices

    · Food Safety training

    · Experience using an inventory ERP system

    · Perform work in an office adjacent to a warehouse and within a warehouse, which has a noise level that can be considered moderate and may occasionally create an exposure to dust and pollens.

    · Perform the safe operation of office equipment.
