    Job Description

    JOB SUMMARY

    This position is engaged in a range of financial activities including accounts payable, accounts receivable, expense reports, general ledger, and support to the Finance Department.

     Accounts Receivable o Conduct agency account audits to ensure invoices are accurate as well as create and send monthly statements.

    o       Follow established procedures for processing cash receipts and creating cash journal entries in ERP system for donations, agency income, and other miscellaneous income on a daily basis.

    o       Maintain a high level of customer service with agencies and Programs Department.  Accounts Payable

     Review all invoices and check requests for appropriate documentation and approval.

     Ensure invoices are coded to the appropriate general ledger and budget codes.

     Enter invoices in ERP system and ensure invoices are paid in a timely manner.  Reconcile vendor statements and research and resolve any outstanding account balances.

    o       Ensure disbursements comply with operating procedures and prepare weekly check runs.

     Prepare 1099 and 1096 forms to IRS.

    o       Other Duties o Review and approve employee expense reports.

    o       Assist in month-end close and year-end processes and annual audit preparation. o Assist in office and warehouse supply orders. o Maintain filing system.

     Assist with other related duties as needed.

    INTERACTION

    The Accounts Receivable / Accounts Payable Specialist will interact closely with managers and staff members. This position may provide information to vendors, agency representatives and staff, and others from the community.

    EDUCATION/YEARS EXPERIENCE

     Minimum: 3 years strong accounting experience preferably with ERP software experience.  Strongly Preferred: Bachelor's degree in Accounting.

             Strong proficiency in Windows and Microsoft Office Suite; ERP, preferably Navision.

    Experience using Jet Reports desirable.

        Ability to work under pressure with tight deadlines.

     A team player that can also work independently with little supervision.         Must have excellent customer service skills.

    TOOLS AND EQUIPMENT USED

    Standard office equipment and machines such as telephone, personal computer, multi-function copy machine, and 10-key calculator.

    LICENSES/CERTIFICATIONS

    Any related certifications in accounting, non-profit, or professional management is a plus, not required.

    ·         Sit and/or stand for extended periods, walk, bend at the waist and knees, kneel and uses hands, arms and legs for dexterity

    ·         Regularly lifts, carries and balances objects weighing up to 50 pounds

    ·         Pulls and pushes such objects as file drawers and supplies
