The Field Operations Coordinator provides support to the Operations Team and is responsible for performing administrative duties to ensure daily operations run smoothly and efficiently. This position carries out responsibilities in the following key areas: business logistics, field correspondence, management of schedules, project tracking, communication across various departments, invoice reconciliation and analysis of data to prepare reports. The coordinator will provide immediate support to the Project Managers, Superintendents and Foremen. Responsibilities: • Understand and prepare project scopes and timelines • Logistics, scheduling, and dispatch of equipment, personnel, material, and trucks • Liaison to onboarding for union hall hand personnel between Field Operations, BA, Human Resources, and Payroll • Thorough review and communication of key hot-button items from contract to field • Coordinate, dispatch, manage, and modify travel (mobilization, flights, rentals) and hotel/housing for crews/drivers. Must be available evenings/weekends to travel needs/changes • Review and approval of invoices and credit card transactions for travel, fuel, etc. • Process and communicate utility locates • Data collection and initial communication of incidents/accidents on job sites • Order safety/PPE/Foreman truck inventory for the field, trucks, and foremen • Maintain inventory of tools, supplies, and products in the field and foreman trucks • Maintains and distributes JHAs, Site Specific Safety Plans, Daily Huddles, Daily Inspections, Competent Worker materials, etc. • Ordering, packaging, shipping ,and receiving as needed • File and retrieve documents and reference materials • Interact with internal and external clients • Occasional travel to job sites may be required • Perform other related duties as required and assigned Qualifications: Basic Qualifications: • Excellent oral and written communication skills • Strong organizational and planning skills • Attention to detail and accuracy • Judgment and decision-making ability • Works independently with strong initiative • Ability to multitask and handle interruptions or changes in priorities • Maintains confidentiality • Position requires some nights and weekends based on demand • Work hours – schedule and volume of hours will fluctuate based on business demand Education/Experience: • High school diploma/GED • 3+ years of clerical or administrative experience • Computer knowledge must include: MS Office Suite- Word, Excel, PowerPoint, and Outlook • Knowledge of standard office administrative practices and procedures Compensation: $60,000 - $70,000
