Responsibilities: • Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive • Ensure attachments to emails are sifted, categorized, prioritized, delegated, and followed up on to ensure the highest customer satisfaction and to prevent tasks, issues, deadlines, and communications from falling through the cracks, ensuring plans are made, schedules are set, and meetings happen on time • Ensure pleadings, motions, and orders filed with courts are downloaded, named properly, and saved to client files in Clio; Deadlines addressed; documents shared to Case Status for clients as directed • Ensure client files contain up-to-date court dockets • Ensure client files contain an up-to-date summary of client communications from Case Status, and summaries are provided to the executive • Receive case updates from the executive, process the same for the calendar, create tasks and delegate; provide updates to clients via case status; update case notes in Clio to allow firm members to stay up to date on the case • Manage conflicts with the court calendar • Time tracking and billing time • Coordinate on projects and report to the executive • Records deadlines on the executive's calendar and creates tasks necessary to ensure deadlines are not missed • Delegate tasks to other team members • Collaborate with paralegals on deadlines and tasks for the executive • Client retainer management • File motions and pleadings with courts (via efiling system, fax, email, etc.) • Transcribe and process dictation; process call transcripts and recordings • Draft correspondence and facilitate emailing/mailing • Proofread documents, correspondence, and invoices • Organize firm documents • Organize clio matters and matter documents • Other duties and tasks as assigned by the executive Qualifications: • Experience handling confidential information and adhering to strict deadlines • Strong organizational skills, communication skills, time management skills, and interpersonal skills • Familiar with Microsoft Office • Completed DISC assessment REQUIRED • Experience in providing high-level administrative support in a legal environment • Ability to manage and prioritize multiple tasks efficiently, ensuring deadlines are met • Proven track record of organizing and maintaining executive schedules and calendars • Strong organizational skills and time management; ability to prioritize • Strong communication skills to effectively liaise with courts, clients, and team members • Proficiency in time tracking, billing time • Ability to draft, proofread, and manage legal documents and correspondence with precision • Experience in coordinating projects and delegating tasks to ensure smooth workflow and collaboration among teams • Ability to solve problems independently through diligent research, resourcefulness, and determination- seeking assistance after all options are exhausted • Ability to learn new tech applications • Sufficient and reliable WiFi access and power • Computer with sufficient ability to run firm applications Compensation: $2 per hour
