    Finance & Administrative Operations Manager / Executive Assistant to CFO The Role You'll serve as the right hand to our CFO, taking ownership of the day-to-day financial administration and operational tasks that keep the business running smoothly. This isn't busywork — it's the backbone of a growing company. Your ability to stay organized, catch details others miss, and hold people accountable will directly impact the bottom line. This role removes noise, prevents money leaks, reduces risk, and keeps the machine running. Responsibilities: Spend Control & Receipt Management • Collect receipts weekly from all team members • Match receipts to Amex and bank transactions • Flag missing receipts, personal purchases, and unnecessary spending • Build and maintain accountability around company spending Vendor Billing & Fulfillment Auditing • Review SunFrog invoices weekly • Verify blanks, print costs, fulfillment, storage, and reships • Compare vendor charges against Shopify orders • Identify overcharges, missing credits, and billing discrepancies Merch Trailer Admin Support • Handle sales tax forms, insurance certificates (COIs), and resale certificates • Manage event and vendor paperwork • Serve as the admin point of contact for the merch trailer team Accounting & Tax Coordination • Act as the primary liaison with accountants and payroll providers • Gather, organize, and submit the requested documentation • Respond to routine accounting and tax inquiries • Keep financial records clean, current, and audit-ready Mail & Correspondence • Receive, open, sort, and categorize all company mail • Identify urgent items — tax notices, legal letters, government correspondence • Escalate only what requires ownership review • Maintain organized digital records of all correspondence Weekly Financial Reporting Provide leadership with a weekly summary covering: • Cash and credit card balances • Bills due • Vendor exposure • Event and trailer spending • Any irregularities or red flags Qualifications: • 2+ years of experience in bookkeeping, financial administration, executive assistance, or office management • QuickBooks experience required • Shopify experience preferred (or willingness to learn) • Proficient in Google Workspace (Gmail, Drive, Sheets, Docs) • Familiarity with credit card reconciliation and receipt management • Strong written communication skills • Comfortable working independently with minimal supervision Compensation: $55,000 - $70,000 yearly DOE
