POSITION OVERVIEW
The Finance & Office Associate plays a vital role in supporting the financial operations and in-person experience of FJC's New York office. With approximately 70% of time focused on finance and 30% on office support, this position is ideal for someone who thrives in a dynamic, service-oriented environment and enjoys balancing recurring financial responsibilities with real-time, in-person support needs.
Delivering exceptional internal and external customer service is paramount to success in this role. The Associate will build strong relationships with staff, vendors, and visitors—ensuring that every interaction reflects professionalism, empathy, and FJC's values.
FINANCE RESPONSIBILITIES
- Process accounts payable, including invoice entry, payment workflows, and bill-pay software administration.
- Assist with payroll processing and related documentation, ensuring accuracy and confidentiality.
- Record deposits and maintain deposit records in accounting software.
- Prepare journal entries and support monthly account reconciliations.
- Assist with 1099 preparation and audit documentation.
- Monitor bank account and corporate credit card activity on a daily basis.
- Maintain organized, digital financial records and assist with data entry and administrative tasks for the finance team.
- Support the Senior Director, Finance & Technology and Controller on other finance projects as needed.
OFFICE RESPONSIBILITIES
- Serve as the in-person front desk presence—opening and closing the NYC office, greeting guests, answering phones, and overseeing daily onsite operations.
- Help ensure the safety, security, and smooth functioning of the office by maintaining awareness of building protocols, visitor activity, and overall workplace readiness.
- Coordinate room reservations, space usage, and office event logistics; maintain calendars and support internal and subtenant needs.
- Oversee communal spaces (kitchen, copy room, restrooms, conference rooms) and manage inventory of office supplies and materials.
- Troubleshoot office equipment (e.g., printers, conference room tech, phones) and coordinate with vendors or the MSP for repairs or service needs.
- Liaise with building management and vendors on day-to-day operational matters.
- Manage mail and deliveries, including bulk mailings and donor communications.
- Support occasional evening and weekend events and handle logistics and facilities needs—including hands-on tasks such as light cleaning or trash removal when required.
- Provide administrative support to the Senior Director, Finance & Technology, including scheduling, preparing expense reports, and other assigned tasks.
WORK SCHEDULE & LOCATION
This is a full-time, in-person position based at FJC's NYC office. The expected schedule is Monday through Thursday on-site , with the option to work remotely on Fridays. Occasional evening or weekend availability is required to support group events or office needs.
REQUIRED SKILLS / ABILITIES

- Strong organizational skills and attention to detail, with the ability to multitask and remain focused in a fast-paced environment with frequent interruptions.
- Commitment to exceptional customer service and a proactive, collaborative approach to problem-solving.
- Ability to handle confidential financial information with discretion and professionalism.
- Tech-savvy and comfortable with office software and systems, including experience with QuickBooks Online, Microsoft 365, Slack, Asana, Concur, NetSuite, and Salesforce.
- Willingness to assist with a wide range of tasks—regardless of scope—to ensure smooth day-to-day operations and a positive in-office experience.
- Travel is required for staff retreats, events conferences quarterly at a minimum.
CREDENTIALS & EXPERIENCE
- Minimum of 2 years of relevant finance or administrative experience required.
- Prior experience in a customer-facing or front office role strongly preferred.
- Familiarity with financial systems, office equipment, and technology platforms.
- Bachelor's degree in Accounting, Finance, or a related field preferred.
