Overview German International School Chicago (GISC) is seeking a highly organized and detail-oriented professional to join the team as a Finance & HR Coordinator. In this dual role, you will be responsible for managing GISC's financial records and supporting key HR functions. This position requires excellent multitasking skills, a strong commitment to confidentiality, and the ability to balance administrative and financial tasks effectively.
Essential Job Functions Finance Coordinator
Responsible for recording day-to-day financial transactions and maintaining digital records of all financial transactions, in compliance with school policies as well as local, state and federal requirements.
Prepare and email student invoices (and credit memos, if necessary) according to the appropriate payment plan as outlined in the enrollment contracts.
Maintain an accurate student billing list (enrollment, withdrawals, midyear additions etc) and assist with revenue projections.
Process and track all incoming payments and bank deposits.
Monitor cash flow, accounts, AR (accounts receivable) and communicate with delinquent account holders.
Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid on time (accounts payable).
Prepare month-end closing processes and reconciliations, and monthly financial reports for Board Meetings.
Assist in school-wide budgetary planning and regular monitoring of departmental budgets and forecasts.
Work closely with GISC’s Financial Assistance Committee and oversee disbursement of financial aid.
Participate in annual audits.
Perform duties as assigned by HoA or Head of School (HoS).

Assist with recruitment, onboarding, and employee orientation.
Maintain employee records, payroll data, and employment records.
Ensure adherence to labor laws and school policies.
Support payroll processing and benefits administration.
Address employee inquiries and resolve HR-related issues.
Perform duties as assigned by HoA or HoS.
Specific Qualifications/Skills
Bachelor’s degree or equivalent level of degree or experience
Excellent verbal and written communication skills in English and German (bilingual German-English preferred)
Ability to handle sensitive information with professionalism and confidentiality
Strong attention to detail
Excellent organizational and time management skills as well as ability to prioritize and multitask
Ability to work both independently and as part of a team
Dependability, reliability and willingness to pitch in to get things done
Proficiency in MS Office programs
Experience with accounting software systems preferred
Work Authorization: Candidate must be authorized to work in the US
