    Job Summary:

    This unique role is a combination of client relations, sales, and transaction processing. Ideal for a qualified candidate that builds strong internal and external relationships and possesses a high level of critical thinking and problem-solving skills. In accordance with Company and Departmental policies, you will be responsible for reviewing and processing purchases, sales, exchanges, transfers, and distributions specific to Precious Metals. You will collaborate with members of Sales, Transfers, Cash Management, Client Services, Distributions and Accounts Receivables daily to address clients’ questions and requests, research and resolve issues related to recordkeeping, asset management and fees. Tasks may include aspects of accounts receivables/payables, client education, client relations, accounting/finance and bank compliance for Individual Retirement Accounts, Employer-Sponsored Plans, 401ks, and Custodial Accounts.

    Duties and Responsibilities:

    • Review and respond to incoming faxed, emailed and mailed requests and correspondence. Confirming receipt and status of the form(s) via email within the same day or two days at most.

    • Assist with general phone and email inquiries from Clients, Business to Business (“B2Bs”), Dealers, and other staff members regarding pending transactions, precious metals investing, fees, etc.

    • Reviewing, sorting, assigning, forwarding Client files and forms to the assigned processor(s) or department(s). Responding to emails and Portal Cases via email and phone.

    • Saving Depository Reports, correspondence and forms received via email, fax, and mail to the Company’s cloud-based storage (DocStar).

    • Saving copies of correspondence & transaction-related documents (i.e., Additional forms, written instructions from Client, etc.).

    • Enter client’s paperwork e.g., including Buy Direction Letters (“BDL”) into the Portal, Depository storage election forms, and setting up the storage sub-accounts with the Depositories.

    • Entering all incoming transactions/forms into the Precious Metals Transactions Log on Microsoft Excel.

    • Notating receipt of email inquiries and forms, correspondence and phone interactions on the Client’s Account Overview Notes in the Entrust Portal.

    • Listen to Voicemails left on the Department voicemail inbox. Placing notes on the Account Overview and notifying the correct processor to be addressed within the same day or 2 days at most.

    • Assist with monitoring shipments of metals between Depositories, Custodians and Metals Broker Dealers that may be delayed or take longer than anticipated. Proactively notifying Clients and other parties of potential issues or delays.

    • Provide a check and balance of other teammates’ work to assure accuracy with all money movement and shipping related transactions.

    • Assisting with annual Depository and The Entrust Trust Company audits by researching and providing these parties with all requested related information.

    • Become a subject matter expert with all applicable The Entrust Group and IRS forms to best assist clients with their needs and ensure accuracy and completeness.

    • Cover tasks and responsibilities of other Precious Metals Processors, when instructed by the Department Manager, as staffing availability and workload requires.

    • Actively seeks to engage with and grow in knowledge about the metals industry, as well as the self-directed retirement industry.

    • Experience within the retirement and precious metals industry is preferred but is not required.

    • Banking, investment, or financial services experience is preferred but is not required.

    • Experience with billing, invoices, and collections is preferred but is not required.

    Education and Experience:

    • Bachelor`s Degree.

    • Must have prior Client Services/Relations, or similar experience.

    • Proficient in Microsoft Office Suite, Teams, Microsoft Outlook, SharePoint, Adobe, Amazon Workspaces.

    Physical Requirements:

    • Prolonged periods sitting at a desk and working on a computer.

    • Able to stand and walk for a minimum of 3 hours in an eight-hour workday.

    • Hand use: continuous keyboarding, frequent simple grasping, and occasional fine manipulation.

    • Occasional bending, reaching, and twisting (waist level).
