    Job Description

    We are seeking a highly organized and motivated individual who is interested in a long-term opportunity as the Client Relations Specialist for a successful financial planning practice. As a member of our dedicated team, you will play a vital role in assisting our clients and ensuring they are well tended to and fully satisfied with our services. The ideal candidate must be detail and service-oriented, able to prioritize and manage multiple projects, and comfortable working in a fast-paced environment.

    Work responsibilities will include the following:

    CLIENT SERVICE:

    • Manage incoming calls
    • Answer client questions or concerns in a timely, informative and professional manner
    • Handle client service issues as they arise
    • Schedule client appointments
    • Prepare for client meetings
    • Obtain, process and maintain client information and transactions into CRM • Handle client meeting follow-up tasks as delegated
    • Assist with new client onboarding process
    • Prospect for new clients and coordinate initial meetings
    • Develop and foster growth within existing clientele
    • Frequently check-in with clients to confirm their satisfaction of services provided • Inform clients of new available services and updates to existing services • Ensure compliance with company and industry regulations
    • Exhibit knowledge regarding the products and services offered
    • Work according to set standards and operating procedures

    OPERATIONS:

    • Perform basic administrative and clerical duties as needed
    • Scan client documents into electronic filing system
    • Work with and report progress on specific projects to supervisor • Inventory and order office supplies
    • Manage office technology and servicing

    REQUIREMENTS AND QUALIFICATIONS:

    • Bachelor’s degree in business, finance or related field
    • 2+ years of experience in a client services role
    • Possess California life insurance license or be willing to obtain within 30 days of hire
    • Computer literacy and proficiency in Microsoft Office Suite (Excel, Outlook, Word), Windows 10, and Adobe Acrobat.
    • Experience in insurance, investment management or financial planning industry a plus
    • SalesForce experience a plus
    • Team player with a positive attitude
    • Strong organizational skills
    • Highly detail-oriented
    • Excellent oral and written communication skills
    • Comfortable engaging with clients over phone and video
    • Exceptional customer service skills
    • Ability to thrive independently in a fast-paced, deadline-driven environment • Adept problem solver
